History Load

The Regulatory History Import process is used to import payments for employees from any legacy system. It also ensures accurate reporting for any go-lives that did not occur on January 1.
  • Importing optional fields does not create reports in the same way as regular payroll processing.

  • Payroll distributions are not created from the regulatory history import records.
    TipFor the best system performance, we recommend that you import records for the previous five quarters.

Importing records from a source file

  1. Select Administration Console > Database.
  2. In the Import pane, click Import to Database.
  3. Specify this information:
    Business Class
    Select PayrollHistoryImport.
    Source File Format
    Select Zip File or CSV for the source file.
    TipWe recommend using a CSV file.
    Import Filename
    Specify the exact file name including the file extension.
  4. Click Submit.

Processing history load import records

  1. Select Administration > Reports.
  2. For US payroll processing, in the US Regulatory pane, click History Load.
    For Canada payroll processing, in the Canadian Regulatory pane, click History Load.
  3. Click Import Records.
  4. Click the Not Processed tab.
  5. Select a record, then click Process Records.

    The Process Records action validates any records that do not have a Processed status, including records in an Error status.

    The Process Records action has an optional parameter to create PayrollCheck business class records or only the EmployeePayment business class records. If you are creating checks, the check number can be specified on the CSV record. If the check number is not specified, the payment identifier is used.

    After the import records are processed, they become Employee Payment records with a status of Import.

    To purge payments instead of processing them, click Purge Pending Imported Payments. The pending imported records are changed from a Processed to Not Processed status. To view these records, select Payroll Administrator > Regulatory Reporting > History Load > Import Records and click the Not Processed tab.

Processing the imported payments

  1. Reconcile each payment before processing to ensure that all associated payment records are successfully processed.
  2. For US payroll processing, in the US Regulatory pane, click History Load.
    For Canada payroll processing, in the Canadian Regulatory pane, click History Load.
  3. Click Pending Payments.
  4. Click Process All Imported Payments.
    The records are closed and the payroll business classes are updated.

    To purge payments instead of processing them, click Purge Pending Imported Payments. The pending imported records are changed from a Processed to Not Processed status. To view these records, select Payroll Administrator > Regulatory Reporting > History Load > Import Records and click the Not Processed tab.

  5. To verify that the payment is closed, select Administration > Reports, in the General pane, click Payments, and then click the Closed Payments tab.
