Adding credentials
As an administrator, you can add credentials for an employee. You must add the qualification sources before you add credentials.
- Select Qualifications.
- Click the Credentials tab.
- Click Create.
- Specify this information:
- Effective Date
- Select the effective date
- Credential
- Specify the credential name.
- Description
- Specify a description. If this field is blank, the credential name is the default description.
- Active
- The default is active. To deactivate it, clear this check box.
- Category
- Select the qualification category.
- Source
- Select the qualifying source of the credential. Many credentials are valid only for the state that issues them.
- Region
- Select a region in which this credential is valid.
- Compact License
- Select this option if the credential is a compact license. Region must be specified if you select this option.
- Candidate Display Indicator
- Specify whether this credential is available to candidates. If this field is blank, this credential is available.
- Renewal Cycle
- Select how often the credential must be renewed.
- Send Notification
- Specify the number of notification days a resource is given to renew the credential.
- Maintain Renewal Date If Within These Thresholds
- Select this check box for the credential expiration date plus 1 day to be used as the renewal date when the credential is renewed automatically as the outcome of completing a development or performance appraisal. If you select this option, you must specify a date range within which the automatic renewal must occur to maintain the original renewal date. If the credential is automatically renewed outside of this date range or this check box is not selected, the renewal date is the completion date of the activity or performance appraisal.
- Days before
- If you select Maintain Renewal Date If Within This Threshold, specify the maximum number of days before the credential expiration date i which the activity or performance appraisal that renews the credential must be completed in order to maintain the renewal date.
- Days after expiration date
- If you select Maintain Renewal Date If Within This Threshold, specify the maximum number of days after the credential expiration date within which the activity or performance appraisal that renews the credential must be completed to maintain the renewal date.
- Grace Period
- Select a grace period for the credential. When selected, the grace period is automatically populated when a credential is created or assigned for a job or position.
- Allow Employee Field Customizations

Select this check box to make selected credential fields conditional. When the check box is enabled, the conditional fields are displayed for employees to view and complete when creating or updating a credential. Administrators, HR generalists, and managers can view all fields regardless of this setting.
This list shows the conditional fields that you can enable for employees:
- Credential Number
- Digital ID
- Recent Renewal and Expiration Date
- Qualification Source
- Other Source
- Attachment
- Comments
For a credential, only one conditional field can be designated between Credential Number and Digital ID, and only one between Qualification Source and Other Source.
- Click Save.
