Maintaining organization and country settings that affect ethnicity options

You must have administrator permissions to edit the organization.

You must save separately the maintenance of ethnicity-related configurable fields for each country with different effective dates.

  1. From HR Administration, select Administration > Setup.
  2. In the Structure pane, click Organizations.
  3. Select the organization.
  4. Click Open.
  5. Click the Country Configurable Fields tab.
  6. Select the country configurable field to maintain.
  7. Click Open.
  8. Specify the effective date of the changes in the country configurable fields.
  9. On the Configurable Fields tab.
  10. Specify the effective date of the ethnicity-related configurable fields.
  11. Select these ethnicity-related check boxes as appropriate for the country:
    Ethnicity
    Select this check box to show ethnicity-related fields on the employee profile. Administrators, managers, and employees can view the fields. Administrators can always edit them on employees’ profiles. A configuration is required for employees to edit them on their own profile. Managers cannot edit ethnicity selections.

    Multiple Races
    This is designed for US usage. Select this check box to show the Ethnicity Details link on the employee profile. You can use the link to select multiple ethnicities. You can select the Multiple Races check box to show the Multiple Races tab on the Country Configurable Fields page. It also makes special processing options available for selection when an ethnicity type is being added or edited.
  12. Save your selections.
  13. If you selected the Multiple Races check box, click the Multiple Races tab to configure email text that you can send to employees to encourage them to self-identify their race and ethnicity.
  14. Complete these fields:
    Notification Title
    Optionally, edit this name of the notification to employees. Only administrators see this name.
    Self Identification Form Text
    Specify text that employees see after clicking a link to a one-time online questionnaire. Employees can use the questionnaire to self-identify their race and ethnicity.
    Send Email to Employee
    Select this if you also want an email sent to employees for self identification.
    From Email

    Specify the sender’s email address.

    Email Subject
    Specify the subject line for the email that employees receive.
    Email Text
    Specify text that invites employees to click the embedded link and complete the online questionnaire. Use the formatting bar to format your message.
  15. Click Save.
