Work assignment and employee actions that affect employee contracts
| Action | Effect on employee contracts |
|---|---|
| Hire | When a resource is hired for a position with an active in‑force employment contract, an employee contract is created in Draft status. The work assignment from the position becomes the employee’s primary work assignment. The hire effective date is used as the employee contract begin date, and the employment contract end date is used as the end date.
When an employee is hired into a single work assignment, the hire action results in only one employee contract record. If employee contract consolidation is enabled, the consolidation level on the newly created employee contract record is marked as NONE. |
| Rehire | An employee contract is created using the work assignment from the position for which the employee is being rehired. The rehire effective date and the employment contract end date are used as the begin and end dates of the employee contract.
When an employee is rehired into a single work assignment, the rehire action results in only one employee contract record. If employee contract consolidation is enabled, the consolidation level on the newly created employee contract record is marked as NONE. |
| Terminate | Any in-force employee contract associated with the employee is moved to Ended status and is made inactive on the termination effective date. |
| Reinstate | Any employee contract that was active, in‑force, and in Accepted status prior to the employee’s termination is restored to its pre‑termination state upon reinstatement. If employee contract consolidation is enabled, the consolidation level is marked NONE because only one active employee contract exists at reinstatement. If an employee contract expired between the termination and reinstatement dates, you must use the action to change the status. |
| Promote | When an employee is promoted to a position with an active, in‑force employment contract, a new employee contract is created using the promotion effective date. The employment contract end date is used as the employee contract end date, and future‑dated promotions create the contract on the effective date. Existing employee contract records from the previous position are end‑dated and inactivated.
If employee contract consolidation is enabled, the new and existing employee contract records are consolidated, and their statuses are updated based on existing contract status. Contracts in Draft, Ready for Review, Contract Sent, or In Progress status are set to Draft. Accepted contracts without contract pay enabled, where no contract pay details exist, are set to Draft. Accepted contracts with contract pay enabled, where contract pay details exist, are set to Pay Enabled. |
| Transfer | When an employee is transferred to a position associated with an active, in‑force employment contract, an employee contract is created with a Draft status. The employee contract begin date is set to the transfer effective date, and the employment contract end date is used as the end date. If the transfer effective date is in the future, the employee contract is created on the future effective date.
All existing employee contract records from the previous position are end‑dated and inactivated one day before the transfer effective date. Employee contract consolidation results in new and existing employee contract records being consolidated and assigned updated statuses based on the existing contract state. Contracts in Draft, Ready for Review, Contract Sent, or In Progress status are set to Draft. Accepted contracts without contract pay enabled, where contract pay details do not exist, are set to Draft. Accepted contracts with contract pay enabled, where contract pay details exist, are set to Pay Enabled. |
| Activate Work Assignment | When an active, in‑force employee contract exists for a work assignment that is activated, an employee contract is created with a Draft status. The employee contract begin date is set to the effective date of the activated work assignment, and the employment contract end date is used.
If employee contract consolidation is enabled, existing active employee contracts are evaluated and consolidation logic is applied based on their statuses. Employee contract records are regrouped as needed, while inactive or Ended employee contract records are excluded from consolidation. |
| Inactivate Work Assignment |
When an active, in‑force employee contract exists for a work assignment that is inactivated, the employee contract is inactivated and its status is set to Ended. The employee contract end date is set to the effective date of the work assignment inactivation. If employee contract consolidation is enabled and the MAIN employee contract is inactivated, multiple active employee contract records may still exist. The remaining active employee contract records are evaluated. Consolidation logic is applied to the remaining active employee contract records, assigning the consolidation level of MAIN to one record. |
| Add Work Assignment | If an active, in‑force employment contract exists for the added work assignment’s position, an employee contract is created when the work assignment is added. The employee contract is active when created and has a Draft status. The employee contract begin date is set to the work assignment effective date, and the employment contract end date is used. If the work assignment effective date is in the future, the employee contract is created on that future date.
If employee contract consolidation is enabled, the status and consolidation outcome depend on the status of existing active employee contracts. Consolidation logic is applied as needed, and inactive or Ended employee contract records are excluded from consolidation.
Note: When a work assignment is added, a position must be selected. When a work assignment is inactivated, the associated employee contract is also inactivated, its status is set to Ended, and the end date is updated to the work assignment inactivation date.
|
| Delete | If an employee contract is associated with a work assignment that is deleted, then the employee contract is also deleted, regardless of its status.
Note: Work assignments must be inactivated before they can be deleted.
