Searching candidates in the candidate pool

Recruiters can search candidates using these criteria:
  • Keyword
  • First name
  • Last name
  • Email address
  • Phone number
  • City
  • State
  • Zip code
  • Competency and skill
  • Education
  • Candidate's existing job applications
  • Candidate type
  • Credential
  • Compact license

You can search candidates with a specific type of credential on the By Credential tab. Search results are displayed whether the credential is a compact license.

You cannot search attached resumes that are not parsed or any other type of document attachment on the candidate's profile.

When the Flyout Panel on List feature is enabled, selecting a candidate name opens the candidate profile in a flyout panel. The flyout panel allows you to review candidate information and perform candidate actions without leaving the Candidate List.

You can search a guest candidate on the All tab. The entry type for a guest candidate is displayed as Guest in the candidate pool

Searching for candidates

You can change how the Candidate List is displayed in the All tab. Display options include a card view or a grid view, available via the Redesign Talent Acquisition Lists feature toggle.
  1. Sign in as a recruiter.
  2. Select Candidates > All.
  3. Specify this information:
    Search
    You can use Salary Expectation, Date Created, and Entry Method as search filters if the feature toggle is switched on.
    Salary Expectation
    Specify the candidate's preferred salary using text.
    Location
    Specify a city, state, or zip code.
    Skill/Competency
    Specify a candidate's listed skills and competencies.

    You can use up to 50 characters for searching.

    Degree
    Specify an educational level, a specialization, or an institution name.

    You can use up to 50 characters for searching.

    Date created
    Specify the date the candidate's record was created.
    Entry
    Specify the method of the candidate's entry to the system.
    Type

    Select whether the candidate is an Internal or External candidate.

    With application
    Select whether the candidate has submitted at least one application.
    With interview
    Select whether the candidate has previous interview records.
    Note: You can use the With Application filter depending on the organizational level setting.

    To enable the With Application filter, select Talent Acquisition > Administration > Organization > Candidate Configuration and specify True in the Require Job Application field.

    If the Require Job Application field is on, the candidates without at least one application are excluded.

  4. Click Search.
    Candidates are displayed as rows in a table with defined columns.

    The columns are defined as:

    Column Name Definition
    Name The candidate's profile is displayed if you click Name. A red flag is also displayed to represent a Do Not Hire reminder or a corrective action alert with its reason.
    Current title The candidate's most recent job title and employer is displayed. Job title and employer name for external candidates, while the current organizational position is displayed for internal candidates.
    Resume The candidate's resume is displayed if you click Resume. The Resume is opened in another tab if the file extension is PDF. For other file extensions, the file is downloaded. The most recent uploaded resume is the primary resume that you can download or open when clicked. The downloaded or opened resume is the primary resume.
    Type The candidate type is displayed, whether they are an Internal or External employee.
    Degree The candidate's highest educational level and specialization are displayed. This field is displayed as clear if the candidate has no education records.
    Location The external candidate's primary contact address is displayed. The internal candidate's employee mailing address is displayed.
    Applications The full list of applications is displayed if you click the value that represents the number of applications.
    Interviews The history of interviews is displayed if you click the value that represents the number of interviews done.
    Salary expectations The exact text provided by the candidate is displayed. If the candidate does not provide a value, then this field is displayed as clear.
    Entry The candidate's method of entry to the system is displayed. The candidate can specify Candidate, Job Board, Internal Recruiter, Agency, Add-In, Mobile, Web Service, or Guest.
    Date created The creation of the candidate's record is displayed.

Searching candidates by credentials

  1. Select Candidates.
  2. Click the By Credentials tab.
  3. Specify this information:
    Keyword Search
    Specify one or more keywords that is applicable to the candidates.

    For example, the candidate's qualifications.

    Candidate ID
    Specify the candidate ID number to search for a specific candidate.
    Last Name
    Specify a surname to search candidates with similar last names.
    First Name
    Specify a first name to search candidates with similar first names.
    Credential
    Select a credential to search any candidates with similar credentials.

    For example, select DO for Doctor of Osteopathy.

    Region
    Select the region of the country where the credential is valid.

    For example, select Midwest.

    To know if the region of the candidate's primary address is located in the region of the candidate’s credential, see the Address In Region field in the credential search list.

    Type

    Select Select all to search all candidates.

    Select Internal to search internal candidates.

    Select Not Entered to search candidates whose type is not defined.

    Select External to search external candidates.

    Compact License
    Specify Yes if the candidate’s credential is a multi-region compact license.

    Specify No if the candidate’s credential is a single-state or single-location license.

  4. Click Search.
  5. To sort the records, click on the first column, Type, Credential, Compact License, and Region columns.

Searching candidates on the Resources tab

  1. Select Candidates.
  2. Click the Resources tab.
  3. Specify this information:
    Keyword Search
    Specify one or more keywords that is applicable to the candidates.

    For example, the candidate's qualifications.

    Employment ID
    Specify the employment ID number to search for a specific candidate.
    Last Name
    Specify a surname to search candidates with similar last names.
    First Name
    Specify a first name to search candidates with similar first names.
    Organization Unit
    Select the organization unit to which the candidate belongs.
    Location
    Select the location of the candidate.
    Position
    Select the position of the candidate.
    Employment
    Specify the employment type of the candidate.
    Education
    Specify the education criteria to search any candidates with similar education.
    Credential
    Select a credential to search any candidates with similar credentials.

    For example, select DO for Doctor of Osteopathy.

  4. Click Search.
  5. To sort the records, click the Last, First, Employee ID, Location, Organization Unit, and Position column.

Searching candidates by requisitions

  1. Select Candidates.
  2. Select the By Requisition tab.
  3. To sort records in the Candidate Search With Requisition list, click the Search Name, Job Requisition, Status, or Created Date column.
  4. To sort records in the Candidate Search list, click the first column, Type, Applications, Entry, Creation Date, and Salary Expectation column.
    Click the existing results to view the results.

Searching for candidates from the All Requisitions page

  1. Select Requisitions.
  2. Select a requisition.
  3. Click the All tab.
  4. Specify this information:
    Last Name
    Specify a surname to search candidates with similar last names.
    City
    Specify a city to search candidates with similar cities in their addresses.
    State Province
    Specify a state to search candidates with similar states in their addresses.
    Zip Code
    Specify a zip code to search candidates with similar zip codes in their addresses.
    Workflow Step
    Select the workflow step to filter requisitions based on their current stage in the process.
    Type

    Select Select all to search all candidates.

    Select Internal to search internal candidates.

    Select Not Entered to search candidates whose type is not defined.

    Select External to search external candidates.

    Date Applied
    Specify the application submission date.
    Date in Step
    Specify the date on when the requisition or application entered the selected workflow step.
    Competency And Skill
    Specify a skill or competency to search candidates with similar skills or competencies.

    You can search for multiple skills and competencies. You can also use partial words, such as manage for management.

    Education
    Specify an educational degree to search candidates with similar educational degrees.
    Credential
    Specify a credential to search candidates with similar credentials.

    For example, JAVA or COBOL.

  5. Click Search.
  6. To sort the records, click the Last Name, Qualification Fit, Rating, Questions Score, Meets, Exceeds, Workflow Step, Type, and Date in Step column.
