Employee Pension Parameters

Use this procedure to control the address source during 1099-R report generation.

Navigate to Payroll > Administration > US Regulatory > Year End > Setup > Employee Configurable Fields. Select and open an employee record, and then click Employee Pension Parameters.

In the Regulatory Reporting Address field, specify which address appears as the recipient address on the 1099-R form for the selected employee.

When the system generates a 1099-R form, the systems decides which address to print in the recipient section. The Regulatory Reporting Address setting controls this decision.

If the employee belongs to the custom group specified in the Payable To Eligibility Group field in Year End Configurable Fields > 1099-R Other Information, the system checks whether a Payment Address exists on the employee's Pension Payment Maintenance record.

  • If a Payment Address has been specified in the record, the system always uses that address on the 1099-R, regardless of what is set in the Regulatory Reporting Address. This process is typically used for beneficiaries or situations where distributions are sent to a specific address that differs from the employee's record.
  • If no Payment Address is specified, the system looks at the Regulatory Reporting Address setting in Employee Configurable Fields.

    • When the setting is Mailing, the employee's mailing address, such as a P.O. Box or alternate postal address, appears on the 1099-R.
    • When the setting is Residential, or if the address has not been configured, the employee's home address is used instead.

Before you run 1099-R reports, ensure that the Regulatory Reporting Address is set correctly for each employee, particularly those needing forms sent to an alternate address.
