Assigning credentials to a position

This information can be added if a position requires a specific license or certification from an external accreditation organization that is subject to renewal, such as a driver's license or a pharmacist's board certification. If the license or certification is not subject to renewal, it can still be added to the position.

The credentials defined for the job are added to the position by default. You cannot remove or change credentials defined for the job. You can add credentials to the position. You can also add a credential that is already defined on the job but change some of the parameters. For example, a Board certification might be an asset for a job but essential for a position.

Note: You can also copy credentials from an existing position.
  1. From HR Administration, select Jobs And Positions.
  2. Click the Positions tab.
  3. Open the position.
  4. On the Qualifications tab, click Create in the Credentials section.
  5. In the Credential field, select the credential and click Save.
If a credential source is defined for the credential, the credential source is automatically added to the Credential Source field.
  6. Specify this information:
    Credential Source
To specify a different qualification source for this position or if the credential source was not defined, select a credential source.

For example, a drivers license from Ireland would have a Source of Ireland.

Note: If multiple credential sources are possible, leave this field blank. It can be filled by a candidate or recruiter at the resource level.
    Active
Select this check box to make the credential active. The status is Active by default. To inactivate the credential, clear the check box.
    Essential to the Position
Select if the credential is essential to the position.
    Equivalent Experience or Other Comments
If your organization accepts equivalent experience instead of the credential, you can specify this or other information in this field.
    Grace Period
Optionally, specify a new grace period duration for the credential in days or months.

If a position has a credential with a grace period, grace period records for employee qualifications are automatically created for all employees hired into that position, regardless of hire type. When the same credential exists at both the job and position levels, the position-level grace period takes precedence when creating the employee qualification grace period.

Note: The Grace Period section is displayed only if the credential has a predefined grace period.
Apply Grace Period For All Linked Employees
Select this check box to generate employee qualification grace period records for all employees associated with the position who currently lack the required credential. The Apply Grace Period For All Linked Employees check box is available when adding a credential with a grace period to a position with existing linked employees.
  7. Click Save.
