Custom groups

Custom groups are also referred to as eligibility groups. They are used to identify groups of employees that can be processed together. For example, you can set up a group for all candidates or job applicants in a specific location. Custom groups are set up by an HR or recruiter administrator in Setup > Custom Groups.

You can use eligibility groups in Talent Acquisition to complete these tasks:
  • Mass assign screening packages to job applications
  • Send screening packages to third-party vendors
  • Request screening packages from third-party vendors
  • Send mass emails to candidates and job applicants
  • Assign paragraphs in offer letters to specific groups of candidates

Candidates are the individuals in the recruiter's candidate pool, whether they have applied for a position or not. For candidates, eligibility groups must be defined with a business class of Candidate and a business subject of CandidateMassEmail. Job applicants are a subset of candidates and include only candidates that have applied for at least one position. For job applicants, eligibility groups must be defined with a with a business class of JobApplication and a business subject of JobApplicationMassEmail.

Screening custom groups for candidates must be defined with a business class of JobApplication and a business subject of HCMGroupScreening. Screening custom groups for resources must be defined with a business class of WorkAssignment and a business subject of HCMGroupScreening.

A new role of GuestCandidate_ST is delivered in the system. A guest is a subset of an external candidate, who is an unregistered candidate. If you use eligibility groups that are not for guests in current automations, you must further restrict custom groups that are defined for external candidates with (Candidate.Type.External) condition.
