Sending online interview questions

Recruiters can send candidates interview questions to answer online. Online interviews are processed differently than other types of interviews. The process is also slightly different for internal and external candidates.

Before you initiate an online interview, verify that the requisition contains online interview questions. These are questions that are not defined for the online job application. Questions that are defined for the online job application are not displayed on the online interview.

These documents are created:

  • A Sent Email status record on the Correspondence tab.

  • For external candidates, an email that contains a link to Candidate Space, where the candidate can respond to the questions. You must sign in to the Candidate Space.

  • For internal candidates, an email and a notification. The notification includes a link to the Talent Acquisition page where the candidate can respond to the questions.

  • An online interview record on the job application's Interviews tab, with a link to the interview questions.

  1. Select Recruiter > Candidates.
  2. Select a candidate. On the Candidate Detail window, click Correspondence to open the Send Candidate Email window.
  3. Choose a template from the Email Template menu or specify Interview in the name field.
  4. Select the Online Interview check box to include a link to the online interview questions.
    When you proceed to the next step, you can add text to add context to the link. For example, you can add the text "Access your interview here:" This check box is available only when the candidate is not in a screened out status or disposition status. The email template must contain a {link} variable in the body of the email. This is the link that the candidate clicks to access the online interview questions.
  5. To add a link that candidates and resources can use to add references, select the Request References check box.
  6. Click Next.
  7. Specify the required information in the name fields. Insert the date, time and location for the meeting.
    Note: For internal candidates, the subject of the email will be the text of the notification they receive in Talent Acquisition. In the email, recruiters should prompt internal candidates to check their notifications for the link to answer the interview questions.
  8. Click Send to send the email.
    Note: When a candidate completes and submits the online interview, their responses are immediately available to the recruiter and hiring manager on the Interviews tab of the candidate's job application. A notification is sent to the recruiter or hiring manager.
