Specifying year-end W-2 parameters

Use the Year End Configurable Fields and Tax Authority Configurable Fields forms to define parameters for year-end payroll processing.

Note: The information that you select on Year End Configurable Fields overrides the selections on Employee Configurable Fields.

Use this procedure to define year-end W-2 parameters.

  1. Select Payroll > Administration > Reports.
  2. In the US Regulatory pane, click Year End.
  3. In the Setup pane, click Year End Configurable Fields.
  4. Click Create.
  5. Specify the country or jurisdiction of the year-end W-2 field record.
  6. Specify this information:
    Payroll Year
    Specify the reporting year of the year-end W-2 field record.
    Legal Entity
    Specify a legal entity of the year-end W-2 field record.
  7. Click Save.
  8. Complete these sections:
    Note: When you define parameters in the Employer Information section of Year End Configurable Fields, HR Payroll uses these parameters when you process the electronic file for the selected legal entity even when you do not select the Year End Configurable Fields check box on the Generate W-2 File action or Generate EFW2 File action. The information you define on the Box 10, Box 11, Box 12, Box 13, Box 14, Other Options, Puerto Rico, Northern Mariana Islands, Override Rates and Limits, Tax Authority Configurable Fields, State Specific Information and Local EFW2 Reporting sections is only used if you select the Year End Configurable Fields check box on the program you are running. HR Payroll matches the legal entity you set up parameters for in those sections of Year End Configurable Fields to the one you select on the Generate W-2 File or Generate EFW2 File action.
  9. Click Save.
