Transferring internal candidates

Specify the information that is required to your organization. You must first configure the fields to your organization.

A red asterisk is displayed in the required fields and on the required tabs.

Some fields are country-specific.

  1. Sign in as a recruiter.
  2. From the homepage, click Requisitions.
  3. From a job list, select a requisition.
  4. Click All.
  5. Right-click an internal candidate and select Transfer.
  6. On the Transfer Information tab in the Request To Transfer window, specify the personal information of the internal candidate to transfer:
    1. Specify the information of the main header:
      Effective Date
      Specify the effective date of the transfer request.
      Reason
      Select a reason for submitting the transfer request.
      Employment ID
      Specify the default employment ID, which is the employment ID of the candidate.
      Work Assignment
      Select the new work assignment of the candidate to transfer.
    2. In the General header, update the general information of the candidate from an existing record. Specify this information:
      • Home Country
      • Birth Country
      • Birth City
      • Relationship To Organization
      • Relationship Status
      • Work Type
      • Working Remotely
      • Adjusted Start Date
    3. In the Hire Source header, update the hire source information of the candidate from an existing record. Specify this information:
      • Source
      • Specific Source
      • Referring Source
    4. In the Personal Information header, update the personal information of the candidate from an existing record. Specify this information:
      • Gender
      • Ethnicity
      • Hispanic or Latino Origin
      • Race
      • Disability Type
      • Disability Severity
      • Nationality
      • Nationality Country
      • Veteran Code
      • Protected Veteran Status
      • Religion
      • Marital Status
      • Birthdate
      • Point Of Origin
    5. In the Work Assignment header, specify the work assignment of the candidate to transfer. Specify this information:
      • Assignment Expiration
      • Assignment Type
      • Position
      • Job
      • Organization Unit
      • Legal Entity

        Before this field is displayed, you must select the Enable Form I-9 check box and select Legal Entity in Use For Tracker I-9 Employer.

      • Legal Establishment

        Before this field is displayed, you must select the Enable Form I-9 check box and select Legal Entity in Use For Tracker I-9 Employer.

        Before this field is displayed, you must enable the Form I-9.

    6. In the Manager Information header, add or update the manager information of the candidate to transfer from an existing record. Specify this information:
      • Direct Manager
      • Dotted-Line Manager
      • Is A Manager
    7. In the Trial And Notice Periods header, add or update the trial and notice period of the new work assignment of the candidate to transfer. Specify this information:
      • Trial Period
      • Trial Period End Date Override
      • Notice Period During Trial Period
      • Notice Period After Trial Period
    8. In the Pay Information header, add or update the pay information of the candidate to transfer. Specify this information:
      • Pay Rate

        If the pay rate that is specified in the Compensation header is outside the minimum or maximum pay range that an administrator defines for a salary structure and salary structure grade, a message is displayed. Click Cancel to change the pay rate.

    9. In the Compensation Analysis tab, specify this information:
      Salary Structure

      If the compensation is based on a salary structure, then select a salary structure.

      Geographic Differential
      Select the candidate's geographical differential code to select salary structure with salary schedules that is based on geographic differential codes.
      Salary Structure Grade
      Select the candidate's applicable salary structure.

      If you select a salary structure, then select a salary structure grade.

      Notional Salary
      Specify the candidate's notional salary.

      You can track the salary international candidate received in the candidate's home country. The notional salary determines the resource benefits and merit increases. If you specify a notional salary, then specify the currency in which the notional salary is expressed.

    10. In the Contract (Legacy) header, add or update the contract information of the candidate to transfer that is associated with a new position. Specify this information:
      • Reason For Contract
      • Contract Type
      • Contract Template
      • Contract Number
      • Begin Date
      • Duration
      • End Date
      • Contracted Time
      • Contractual FTE
      • Renewal Notification Date
      • Renewal Date
    11. In the Benefit Enrollment header, add or update the benefit information of the candidate from an existing record. Specify this information:
      • Enrollment Event
      • Event Date
    12. In the Comments header, provide any other information in support of your transfer request.
    13. In the Grant Management header, add or update the period to obtain a required qualification of the candidate to transfer from an existing record. Specify this information:
      • Labor Distribution
      • Salary Encumbrance
      • Encumbrance Fringe Rate
      • Fringe Encumbrance Account Category
      • Company
      • Fringe Encumbrance Account
      • Effort Reporting
      • Effort Currency
      • Primary Company
      • Certifier
      • Secondary Company
      • Certifier
  7. Click the Auto-Create Requisition tab and specify the requisition details of the internal candidate transfer:
    Create a requisition upon completing Transfer action
    Select this check box to create a requisition after you complete the transfer action.

    If you select this check box, then you can select the recruiter and the approver template of the requisition.

    Recruiter
    Select the recruiter code of the recruiter who requests the transfer of the internal candidate.

    The name of the recruiter is displayed.

    Requisition Approver Template
    Select the approver template to use in the requisition.
  8. Click the Attachments tab and attach supporting documents that is related to a candidate transfer request:
    Type Of Attachment
    Select the type of the candidate's document to attach.
    File
    Click the Browse icon to attach a document.
  9. Click Submit.
