Routing candidates to specific workflow steps with eligibility groups

Administrators can use eligibility groups to route candidates to specific workflow steps.

Eligibility groups are defined by conditions. Each custom group includes only candidates who meet one or more conditions. For example, a group can include only candidates from a state or within a zip code. A group can include employees who are non-union. A group can include candidates who are applying for manager-level positions in the Human Resources division of a Montreal office who have scored well on an assessment. A group can be configured around any combination of criteria. See Custom groups.

When groups are used to route candidates to specific workflow steps, workflows are more efficient. For example, an administrator can configure a workflow to route candidates to steps based on each user's fitness for hire. Candidates who are given the status Recommended can be routed to a workflow step that continues the hiring process. Candidates who are given the status Not Recommended can be routed to a workflow step that concludes the hiring process. See Examples of workflow routing based on group eligibility.

Email notifications can be configured to be sent to candidates to help guide them through the workflow process.

  1. Select Talent Acquisition > Workflow Setup > Hiring Workflow.
  2. Double-click a workflow.
  3. Click Workflow Steps.
  4. Double-click a workflow step.
  5. Click Automations.
  6. Click Create.
  7. Specify this information:
    Workflow Action
    Specify Move To Step.
    Run Order
When the workflow step includes more than one automated action, specify this automation's place in the sequence of automations. Run order is not tracked separately for entering step and leaving step. As a best practice, customers should set up actions for entering step with their run order and then actions for leaving step with a distinct run order. If the run orders for entering step and leaving step are intermixed, then the logic to use the actions processes all entering step actions in their run order when a candidate enters the step, and then processes all leaving step actions in the run order when a candidate leaves the step.
    Run Upon
Specify that the action runs when the user begins the workflow step or when the user completes the workflow step.
    Eligibility Group
Specify the candidate group for which the automation is run. If no group is specified, then the automation is performed for all candidates who are exposed to the step.
    Move To Workflow Step
Specify the workflow step to which the user is moved.
  8. Click Save.
