Parameters defined at the Talent Acquisition organization level

You can configure your organization to tailor processes to your needs.

Configurable workflow

Organizations that implement configurable workflow can configure one or more paths through the recruitment and hiring process. Workflows enable your organization to specify and automate the processes by which candidates are recruited and hired when the hard-coded hiring process does not serve business needs.

  • You can create one or more workflows for candidates or candidate types.
  • You can create steps that guide candidates and recruiters through each phase of the hiring process.
  • You can create automated notifications and notes and assign them to workflow steps.
  • You can configure and customize actions.
  • You can configure icons that are shown throughout the configurable hiring workflow portions of the application.
  • You can create and configure categories for workflow steps.

Candidate configuration

  • You can let the system auto-create internal candidates when a new resource is added to the system. This is used if you want your employees to apply for internal position on Employee Space.

  • You can provide a URL for candidates to set up a free email account if they do not have an email. (An email is required to register on the career web site.)

  • You can specify how many months candidate information and application data is retained on the career web site.

  • You can allow the candidate profile and job application information to be synchronized up to the selection process that you select, at which point a job application can no longer be updated by the candidate;

    or

    You can prevent candidates from updating their job applications after they have been submitted.

Application configuration

You can specify the minimum number of items your organization requires for specific sections of a job application. For example, you may want to require a minimum of three references, and two employment history items on all job applications.

When a job application does not meet the minimum requirements, a message is displayed describing the requirements to be met. The candidate must meet the requirements before being allowed to submit the job application.

Selection process

  • You can customize the job application status descriptions that a candidate sees on the career web site

Email automation

  • You can set up email automation to trigger automatic emails for any stage in the candidate selection process, as well as when a priority requisition is created. You can determine which change in selection process will trigger an automatic email, as well as choose the template to be used for each of those stages.

  • You can select a document template that can be used to generate a resume from a candidate's profile when a job application is moved to Hiring Manager Review and automatic email is enabled for the Hiring Manager Review process.

Posting automation

  • You can instruct the system to either remove or retain postings on the career web site if a requisition is canceled, placed on hold, or filled.

Profile parsing

  • You can configure your organization to parse uploaded resumes into candidate profiles.

  • Talemetry users who configure their organizations to use profile parsing can also enable an option to send multiple resumes in HTML format within one email. The e-mail can be sent to anyone and does not require an e-mail template.

  • If you choose to use Talemetry for profile parsing, you must set up an account with Talemetry and define your parsing rules. Contact Talemetry to define your parsing rules.

  • If you configure your organization to use profile parsing with Talemetry, then you can also configure your organization to allow candidates to import from their profiles from their LinkedIn, Facebook,or Google+ profiles. To enable this functionality, you must define and select a Talemetry user that will be used for social media and select each of the social media that you want to allow candidates to import their profiles from. Your organization must have a Talemetry parsing account provisioned. Contact your Talemetry account manager or support@talemetry.com.

  • If you use profile parsing, you can configure the organization to enable recruiters to view incomplete registration records for candidates.

  • If you use profile parsing, you can configure the organization to generate a log of resume parsing errors. The log is displayed under Talent Acquisition > Parsing Messages. You can also select an HR or recruiter administrator to receive notifications when a log is generated.

Requisition defaults

You can select default values for the following requisition components. Any values you select will default on all requisitions at the time you create or request to create them. You can override these values on any requisition.

  • Self-identification text

  • Question set

  • Consent agreement (external and/or internal)

  • Acknowledgment (external and/or internal)

Talent Acquisition alerts

You can set up a target number of days to fill the requisition. If the requisition takes longer to fill, a message will display on the Time To Fill dashboard panel for the requisition.

You can set up a target number of days to complete an offer process. Any job application that is in Offer status longer than this number of days will be flagged with a red alert on the recruiter’s Offers dashboard panel on the Today view.
