Creating an interview scheduling template
Recruiters and hiring managers can create an interview scheduling template to reuse in the hiring of internal or external candidates. To maximize efficiency, they can create a library of interview scheduling templates for your organization.
- Select Administrator > Talent Acquisition > Template Setup > Interview Scheduling Templates.
- Click Create.

Specify this information:
- Effective Date
- Select the date that the template is available when it is active.
- Active
- Select this check box to ensure that the interview scheduling template is available in the system.
- Interview Scheduling Template
- Specify the name of the interview scheduling template.
- Description
- Specify the description of the interview scheduling template.
The description of the interview scheduling template is displayed in the list of available interview scheduling templates that recruiters use.
- Invite Type
- Select the Create Calendar Invite option to send an interview invite to the candidate with a specific date and time. Select the Send Time Slots to Candidate option to send an interview invite to the candidate with the available time slots.
- Event Name
- Specify the subject of the interview invite.
You can add specific details in the subject of the interview invite automatically. For example, specify Interview for {JobId} {PositionTitle} - {CandidateFullName} to add the job ID, position, and the candidate's name in the subject of the interview invite.
- Event Description
- Provide the message to add in the interview invite for a candidate.
You can add specific details in the message of the interview invite automatically. For example, specify {OrganizationName} and {RecruiterPreferredFirstName} to add the organization's name and the recruiter's first name in the message of the interview invite.
- Enter Different Message For Internal Attendees
- Select this check box to send a different message in the interview invite for an internal candidate.
- Internal Attendee Invite Event Name
- Provide the message to add in the interview invite for an internal
candidate.
You can also add specific details in the message of the interview invite automatically, which are similar to the Event Description field.
- Internal Attendee Invite Event Description
- Specify the message to add in the interview invite for an internal
candidate.
You can also add specific details in the message of the interview invite automatically, which are similar to the Event Description field.
- Meet Duration (in Minutes)
- Specify the length of the interview in minutes.
If you select an interview type, then this field is specified automatically.
- Begin Date
- Specify the starting date of the interview period.
- Start Time
- Specify the starting time of the interview.
- End Date
- Specify the ending date of the interview period.
- End Time
- Specify the ending time of the interview.
- Interview Type
- Select the interview type to conduct. For example,
telephone, online, onsite, and other interview types.
The recruiter administrator defines the interview types.
- Location
- Select the city or state of the interview if required by your organization.
- Location Details
- Specify the details of the interview location if required by your organization, such as building name and street number.
- Click Save.
