Defining and routing offers with legacy employment contracts
Use this process for Legacy Employment Contracts only.
Legacy Employment Contracts fields are displayed only if your organization is configured to use Legacy Employment Contracts.
After you define the offer, it is routed for approval. As the offer is routed for approval, approvers who have update privileges can make changes both to the offer and to the employment contract data.
If the offer includes an offer or an employment template, after the offer is fully approved, you can generate offer and contract documents that reflect the offer as approved. When the candidate is hired, rehired, or transferred, the contract document and contract information remain associated with the new resource and work assignment record.
- Open the job application.
- Move the job application to the Offer process.
- Select Actions > Define Offer.
- If required, specify the employment start date, legal entity, and legal establishment.

Specify additional information about the offer.
Note:
Most of the fields are not required. As the request is routed, the recipients can complete the fields that they are responsible for. Many of the fields default in from the position or requisition.

Optionally, specify the header information:
- Effective Date

Specify the date as of which the offer exists in Talent Acquisition.
- Reason
-
You can select a reason for the offer. Action reasons are defined by the HR administrator.
- Candidate Name

The name is automatically filled from the job application.
- Offer Status
-
The status is Pending until the offer is approved. When approved, the offer is Defined. When the documents are created, the status is Extended. The offer can also be declined by the candidate or rescinded by the organization.
- Offer Letter Template
-
To generate an offer letter, select the template for the document. This can be a document template or a template from the paragraph library.
Note:The document template is shown in the template list only if it has been been uploaded to the application by the recruiter administrator (Administrator > Talent Acquisition > Template Setup > Document Templates).
- Title

The name position title is automatically filled from the requisition.
- Recruiter

The recruiter name is automatically filled from the requisition.
- Reports to

Select the resource's direct manager.
- Organization Unit

To assign the resource to an organization unit, select the organization unit.
- Location

To assign the resource to a location, select the location.
- Holiday Schedule Override
- Overrides Holiday Schedule determined by country and location. Useful when the employee's work contract determines which Holiday Schedule applies, which may differ from the schedule determined by their work location.
- Work Type

Select the work type (for example, Full time, Part Time or Temporary).
- Professional Category

(Country Specific) To associate the resource with a professional category, select the professional category.
- Assignment Type

To associate the resource with an assignment type, select the assignment type.
- Legal Establishment

(Country-specific) If you select a legal entity, you can also select a legal establishment.
- Resource Being Replaced

If the contract is to replace an existing resource (for example, a temporary replacement of a resource on maternity leave), select the resource being replaced.

Optionally, specify the date information:
- Offer Date

Specify the date for the offer to be officially made.
- Offer Deadline Date

Specify the date by which the candidate must accept the offer.
- Employment Start Date

Specify the date for employment to officially start.
- Date Of First Pay

Specify the date for the resource to receive the first payment.

These fields are shown only if your organization is configured to use employment contracts.
If the position is subject to an employment contract, you can create an employment contract when you define an offer by specifying information in the contract fields. If you do not define contract information on the offer, it can be added on the Hire, Rehire, or Transfer action or on the resource record after it is created in Infor HR Talent.
- Resource Being Replaced

If the contract is to replace an existing resource (for example, a temporary replacement of a resource on maternity leave), select the resource being replaced.
- Reason For Contract

Select the reason for which the employment contract is being issued. For example, new hire or transfer.
Note:Reasons for contracts are user-defined in the Administrator Space under Employment Contract Components > Reasons.
- Contract Type

Select the contract type.
- Contract Template
-
Select the contract template. When the offer is approved, the contract template brings over all the sections attached to the template and stores the template contract document.
Note:A document template must be attached to the contract template to generate a contract document.
- Contract Number
-
If available, type the contract number.
- Begin Date
-
Select the contract begin date.
- Duration
-
Specify the contract duration with the unit of duration.
- End Date
-
If you specified a begin date and duration, the end date is calculated by the system. You can override this value.
Note:This field is required for fixed-term contracts.
- Contracted Time
-
Specify the contracted work time, that is the number of hours/weeks/months per day/month/year that the resource is committed to work and the employer is committed to provide.
- Contractual FTE
-
Type the contractual full time equivalent. For example, if full time in your organization is 2080 hours and the contracted time is 1040 hours, the contractual full time equivalent is 0.5.
- Renewal Notification Date
-
If the contract is subject to renewal, then specify the date for the renewal notification to be sent.
Note:No notifications are currently sent by the system.
- Renewal Date

If the contract is subject to renewal, specify the renewal date.
- Assignment Type

If assignment types are used by your organization, select the assignment type.

Optionally, specify the salary information:
- Salary
-
Type the salary amount being offered, the currency in which the salary of the currency code that you select, and for the salary type that you select.
For example, if the salary is annual and in dollars, specify the annual amount, USD as the currency, and Annual as the salary type.
Note:Do not specify this information if the compensation is based on a step and grade schedule.
- Currency Code

Select the currency code in which the salary amount is expressed.
- Frequency

Select the payment frequency (for example, Biweekly, Semimonthly, or Monthly)
- Salary Type

Select the salary type.
- Number of Months
-
If the salary type is Monthly Salary, type the number of months. The salary amount is multiplied by the number of months to produce the annualized salary. The number of months is 12 by default.
- Bonus, Currency Code, Frequency

If the offer includes a bonus, type the bonus amount, expressed in the currency of the currency code that you select, and for the frequency that you select.
- Monthly Incentive Bonus Annualized, Currency Code

If the offer includes an annualized bonus paid in monthly installments, type the annual bonus amount, expressed in the currency of the currency code that you select.
- Step And Grade Schedule, Grade, Step

If the compensation is based on a step and grade schedule, select the step and grade schedule, grade, and step assigned to the candidate.
Note:Do not specify a salary in the Salary field if the compensation is based on a step and grade schedule.
- Notional Salary
-
(Country-specific) If applicable, type the employee's notional salary. This field is used to track the salary that international assignees would receive in their own country. This salary may be used to determine benefits, merit increases, and so on.
If you specify a notional salary, select the currency in which the salary is expressed.

Optionally, specify the collective agreement information:
These fields are shown only if your organization is configured to use collective agreements.
- Collective Agreement

If the position is regulated by a collective agreement, then specify the collective agreement ID, the population category, and the position or level. For more information on collective agreements, see the Compensation User Guide.

Optionally, specify the allowance information:
You can include up to ten allowances in the offer. For each allowance, specify this information.
- Type

Select the allowance type.
Allowance types are user-defined. For example, child care allowance, housing allowance, parking allowance.

Type the allowance's flat amount and currency in this field

If the allowance is valid only for a date range, specify the begin and end dates.

To associate the allowance with a pay code that is interfaced to a payroll system, type the pay code.
- Pay Frequency

Select how often the allowance is paid. For example, a resource could be paid bimonthly but receive the allowance only once a month.
- Include In Total Pay Rate

If you select this check box, the allowance is added to the base pay rate as part of the total pay rate.
- Information Only

Select this check box for this allowance to be used only for information purposes.
- Display In Contract
-
Select this check box for this allowance to be displayed on the resource's contract.
To display on a contract document, the variable

must be included in a compensation type contract section of the contract template.

Optionally, specify the other pay information:
You can select up to five other pay values in the offer. Specify this information for each other pay value.
- Type
-
Select the Other Pay type. Types are user-defined. For example, you could have a learning pay rate that is different from the base pay rate.
- Category
-
Select the Other Pay category.
If you select Alternate Rate, the rate is paid in place of the normal pay rate.
If you select Add On Rate, the rate is paid on top of the normal pay rate.
If you select Add On Percent Of Pay Rate, the rate is calculated as a percent of the normal pay rate and added to the pay rate.
If you select Billing Rate, the rate is billed to customers.
- Pay Rate, Currency

If you selected a category of Alternate Rate, Add On Rate, or Billing Rate, type the rate and the currency.
- Percent

If you selected a category of Add On Percent Of Pay Rate, type the percent value.
- Begin Date, End Date

If the other pay is valid only for a date range, specify the begin and end dates.
- Display In Contract

Select this check box for this other pay to be displayed on the resource's contract.
To display other pay on a contract document, the variable
OtherPay
must be included in a compensation type contract section of the contract template.

Optionally, specify trial and notice periods:
- Trial Period

Select a trial period to calculate the trial period end automatically.
Note:If you select a trial period, you cannot select a trial period end date override.
- Trial Period End Date Override

Select a trial period end override to specify a trial period end date that is not calculated by the system.
Note:If you select a trial period, you cannot select a trial period end date override.
- Notice Period During Trial Period

(Country-specific) To give the resource advanced notice in case of termination during the trial period, select the notice period.
- Notice Period After Trial Period

(Country-specific) Select the notice period that the resource is entitled to after completing the trial period

Optionally, attach up to three documents:
- Attachment

To attach a document to the offer, select the attachment type, click the Browse icon, navigate to the file, and double-click the file.
- Comments

Specify any additional comments in support of the offer.

Optionally, specify the header information:

Click Submit.
The offer is routed for approval.
After the offer is approved, you can view the content on the offer on the job application's Offer And Contract tab. If if your organization is not configured to use employment contracts, then you can view the content on the Offer tab.
