Requesting updates to requisitions

Administrators can update requisitions directly. However, organization processes may require recruiters to request approval to update a requisition, especially if it is already posted. Hiring managers must always request approval.

  1. Sign in as a recruiter.
  2. Select Requisitions.
  3. Right-click the requisition and select Request Update To Job Requisition.
  4. On the Requisition Information tab, specify this information :
    Position Code

    To assign a different position to the job requisition, select a new position code. The position values are displayed when the update request is approved. If you select a new position code, the job requisition retains its original ID but the requisition refers to a different position.

    Recruiter

    Select the recruiter for the position.

  5. Optionally, specify additional information on the Requisition Information and Other Information tabs.
    Effective Date

    Specify the date on which the update becomes effective.

    Reason

    Select a reason code for this action.

    Date Needed

    Specify or update the date when the position needs to be filled.

    Priority Requisition

    Select this check box to have this requisition displayed in red on the requisition list. If an automatic email template is defined on the organization setup, recruiters and any other recipients identified in the email template receive an email when a job application is submitted for the requisition.

    Organization Unit

    Select the organization unit for which the position is required.

    Company, Accounting Unit, Account, Activity, Account Category

    This is available only if your organization is configured to use Chart of Accounts. Specify an expense account, such as company, accounting unit, or account. If applicable, specify an activity and account category. These fields are used to interface expenses and activities to Infor Lawson Financials.

    Cost Center, Project

    These fields are available only if your organization is not configured to use Chart of Accounts. Specify a cost center and project. These fields are used to interface expenses and projects to a financial system other than Infor Lawson Financials.

    Category

    Select the position category. Candidates can search for jobs by position category.

    Sub Category

    If subcategories exist for the category, you can select a subcategory.

    Location

    Select the location for which the position is required.

    In the Recruiting Location section, specify this information:

    Enable Additional Locations and Nationwide Indicator on Requisition
    Select this option to enable multiple locations or a nationwide indicator on requisitions in conjunction with Talemetry. You must specify a date in the Effective Date field before you save. See Creating requisitions.
    Standard Hours

    Specify the standard number of hours per week.

    Relationship to Organization

    Select the relationship to organization, such as employee or consultant.

    Work Type

    Select the work type.

    Work Schedule

    To apply a specific work schedule, select the work schedule.

    FTE

    Specify the Full Time Equivalent for the position. For example 1, 0.75, or 0.5.

    Shift

    Select the shift name or number.

    Exempt From Overtime

    If the position is exempt from overtime pay, select yes.

    Professional Category

    If applicable, select the professional category of the position.

    Bargaining Unit

    If the position is unionized, you can select the bargaining unit.

    Union

    If the position is unionized, you can select the union.

    Employment Contract Type

    If a Legacy Employment Contracts is required for this position, select the contract type.

    Begin Date

    Specify the begin date of the position.

    Duration

    Specify the duration of the position.

    End Date

    Specify the end date of the position.

    # of Openings

    A requisition can apply to multiple openings. Specify the number of openings.

    Travel Required

    If travel is required, specify the percentage.

    Budgeted

    If this is a budgeted position, select this check box.

    Relocation Provided

    Specify whether relocation costs are offered as part of the offer.

    Reason For Opening

    Select the reason for requesting the requisition.

    Detailed Reason For Opening

    Specify additional details if applicable.

    Direct Manager

    Select the direct manager for the position.

    Hiring Manager

    Select the hiring manager for the position.

    HR Contact

    Select the HR contact for any HR questions. If an HR contact is defined for the organization unit, it automatically populates this field.

    Alternate Recruiter

    Select the alternate recruiter for the position.

    Requisition Approver Template
    Select an approver template for the requisition. This field is available if the approver templates are used and the Enable Configurable Approver for Requisition check box is selected in the organization.

    If one or more approvers are selected, then approval requests are routed differently based on who submits them:

    • Approval requests that are submitted by a hiring manager are routed to each approver and to the recruiter.
    • Approval requests that are submitted by a recruiter are routed to the hiring manager for approval, then to the next approver.

    If no approvers are selected, then approval requests are routed to the hiring manager or the recruiter:

    • Requests that are submitted by a hiring manager are routed to the recruiter.
    • Requests that are submitted by a recruiter are routed to the hiring manager.

    When all approvals are processed, the requisition changes are displayed on the requisition.

    If you select a different approver template from the requisition, then the new template is not applied to the requisition until all approvers approve the template. After the template is approved, the new approvers from the selected approver template are applied to the requisition.

    Offer Approver Template
    Select an approver template for the job offer. This field is available if your organization uses approver templates and the Enable Configurable Approver for Offer check box is selected in organizational setup.

    Hire Type Actions Approver Template
    Select an approver template for hire type actions. This field is available if your organization uses approver templates and the Enable Configurable Approver for Hire check box is selected in organizational setup.

    Approver 1
    Select the first approver for the requisition. You can select up to three approvers.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    Approver 2
    Optionally, select a second approver.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    Approver 3
    Optionally, select a third approver.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    Assessment Package

    If the position requires candidates to be formally assessed, select the assessment package.

    Self Identification Configuration

    If you want self-identification questions to be displayed on the job application, select the self-identification configuration.

    Question Set

    You can select a different question set. When the requisition update is approved, all questions in the question set are displayed on the Questions tab of the requisition.

    Job Posting Template

    You can select a different job posting template. When the update is approved, the new description is displayed on the Position Description tab.

    Consent Agreement (External)

    Select the consent agreement text, if any, that is displayed at the beginning of the job application for external candidates.

    Consent Agreement (Internal)

    Select the consent agreement text, if any, that is displayed at the beginning of the job application for internal candidates.

    Acknowledgment (External)

    Select the acknowledgment text, if any, that is displayed at the end of the job application for external candidates.

    Acknowledgment (Internal)

    Select the acknowledgment text, if any, that is displayed at the end of the job application for internal candidates.

    Confidential Requisition

    If the requisition is confidential, select this check box. Only a few authorized people defined by the organization have access to this requisition.

    Comments

    Specify any comments relevant to the request.

  6. Click Submit.
    Note: 

    If your organization uses Position Monitoring and this action would result in exceeding the budget for the requested position, you cannot complete the action. The error message shows how the budget is exceeded. You can complete the action by reducing the amount that causes the budget error.

Follow-up tasks

  • Any approver on the approval route defined for the update requisition request action must take action. The requisition changes are displayed on the requisition after the approval process is completed. If you assigned a new position to the job requisition,the job requisition retains its original ID but the requisition refers to a different position.

  • Administrators, approvers on the approval chain, and requesters can monitor the routing status of their request by opening the requisition and clicking the Approval Tracking link. These roles can take action or monitor requests that are awaiting approval. They can view history and errors that are associated with requests.

  • If the requested updates affect job postings, the recruiter must update any existing postings manually or remove the postings and re-apply them to display the updates.
