Configuring variables for offer letter paragraphs

Two variables require configuration when they are used with offer letter paragraphs:
  • Allowances
  • Other pay

An offer allowance is non-standard compensation. For example, the use of a company car, cell phone, housing, or relocation costs. Offer allowances are defined on the Define Offer action.

Other pay is additional pay that is granted for various reasons. For example, a healthcare company can add a pay rate called qualification pay that includes an extra dollar an hour for candidates who have master's degrees. Up to five other pay rate items can be specified on the Define Offer action.

When a variable is configured, users can add it to offer paragraphs when they create the paragraphs. One or more values can be configured for each variable. Text can be added to provide context. This practice standardizes offer paragraph content and streamlines the process of creating paragraphs.

For example, an administrator could configure the Allowance 1 variable like this: Relocation assistance, subject to IRS taxes, payable in conjunction with the second pay period payroll check:
  • {Allowance Begin Date}
  • {Allowance Amount} {Allowance Currency}
The text provides context for the values {Allowance Begin Date}, {Allowance Amount}, and {Allowance Currency}. The content is formatted with bullet points.

A user who creates an offer paragraph can select Allowance 1 from the list of variables to populate the paragraph. The user can add other variables and text to the offer paragraph.

  1. Sign in as Administrator and select Talent Acquisition > Template Setup > Offer Letters With Paragraphs > Variable Configuration.
  2. Specify this information:
    Variable
    Specify the variable that you want to configure.
    Configuration
    Click in the text field. Ctrl-Shift-Right click Text Variable Replacement and select an option.
  3. Specify text that provide context to the variables.
  4. Click Save.
