Creating organization succession rules
Use this procedure to set up the rules for succession in your organization, including setting up a nine-block chart. Only administrators can perform this procedure.
- Select Set Up > Succession > Organization Rules.

Specify this information:
- Retention Risk Red Alert
- Select the retention risk level at which a red alert is displayed. When a resource is assigned this retention risk level or higher, an alert is displayed on their record.
- Ready Now
- Select the readiness code that indicates that a successor is ready immediately for a position. This is used to determine bench strength for a position or a talent pool. Readiness levels must be defined to use this field.
- Performance Levels
- Specify the number of performance levels this
organization uses to rate resources' performance. Performance levels are for
succession purposes only. The number that you specify determines the number of
records created on the Performance tab. These are indicators of performance on which
resources are rated for succession purposes.
The performance levels that are defined here are used as the rows in the organization's nine-block chart.
- Rating Scale
- Select the rating scale that is used on the appraisal
that is brought over to Succession Management. You can map rating scale values to
performance levels on the Performance tab.Note: After adding or changing the rating scale an organization uses, run the Refresh Resource Performance Data action to apply this scale to the resources in the organization.
- Potential Levels
- Specify the number of potential levels this organization
uses to rate resources' potential. The number you specify determines the number of
records created on the Potential tab. These are the Indicators of Potential.
The potential levels that are defined here are used as the columns in the organization's nine-block chart.
- Indicator Of Potential Alert
- Select the indicator of potential at which a green alert will be displayed. When a resource is assigned this indicator of potential or higher, an alert is displayed on their profile in Succession Management. You must have records on the Potential tab before you can select a value.
- Click Save.
- On the Potential tab, records have been created that correspond to the number of Potential Levels on the Details tab. These are the indicators of potential. You can open each Potential level and add a Description. The description is used as the column label in the nine-block chart.

On the Performance tab,
records have been created that correspond to the number of Performance Levels on the
Details tab. These are the indicators of
performance. You can open each Performance level. Specify this information:
- Effective Date
- Select the date for this change to the performance level.
- Description
- Provide a description for the performance level. This description is used as the row label in the nine-block chart.
- Rating Level Range
- Specify the rating levels range that corresponds to this performance
level. For example, if you use a six point rating scale, you can define this:
- A Performance Level of 1 includes the rating range of 1.0 to 2.0
- Performance Level 2 can include ratings 3.0 to 4.0
- etc.
Note: Succession Management does not prevent you from specifying values that overlap in these ranges. If overlap exists, the resource is assigned the lower of the two levels.

On the Chart Elements tab, the
Indicators of Potential and Indicators of Performance combinations that have been defined
for this organization are listed. You cannot add a new combination on this tab, but you
can edit the Short Description and Description.
- Short Description
- This is the heading that is displayed over a particular segment of the chart.
- Description
- This is the longer description of what type of resources
are included in a particular segment of the chart. It provides additional detail
beyond the Short Description. This description is available when you move your
pointer over the Short Description or when you click the
i
.
- Click Save.
