Time-entry approval by an administrator
Resources' submissions of time worked must be approved. The role most frequently assigned to approve time entry is the Time Entry Administrator role.
Changes to the approval process can be performed by administrators with the Process Server Administrator role. Use these actions to process individual time records within work unit:
- Create or update a time-entry request.
Reason Code and comments are not required. This action is only allowed if there are other time records in the pay period to approve, so the work unit moves through the process. If the period is open for time entry, approvers can update time records or add new time records for the pay period. Time records dates cannot be changed to a date outside of the period.
- Approve a time-entry request.
If a Time Entry Administrator approves the work unit, an email is sent to the employee and their time records are updated to approved. No additional approvals are required. This action does not use the
ApprovalLevels
value. - Reject a time-entry request.
If the Time Entry Administrator rejects the work unit, an email is sent to the employee that indicates that some time records have been rejected. The employee's time records are updated to a status of Rejected. Reason code and comments are logged in the
TimeRecordComment
business class. A reason code is required, and comments are not required. Reasons and comments are stored in the audit log and inTimeRecordComment
for the pay period/time record. You can add an action reason to use for a time-entry rejection. A time record can be rejected only if there are other time records to approve/reject. The work unit can then move forward in the process with those actions.
