Tax authority configurable fields

Use this procedure to define tax authority-specific information. For example, select the Maryland Tax Authority to report the required information for the EFW2 Code RE record for Maryland. Use local EFW2 Information to report identified EFW2 Code RS record fields for EFW2 local reporting, based on the Social Security Administration’s specifications for filing form W-2 electronically. The tax authority must have a corresponding local withholding deduction.

  1. Select Payroll.
  2. Select Administration.
  3. Click the Reports tab.
  4. In the Regulatory pane, click Year End.
  5. In the Setup pane, click Tax Authority Configurable Fields.
  6. Select and open a country code.
  7. Specify this information:
    Tax Authority
    Specify a tax authority.
    Payroll Year
    Specify the reporting year.
    Legal Entity
    Specify a legal entity.
  8. Click the local or state-specific EFW2 Information link.
  9. Use the available fields to define additional data items for state-specific reporting requirements. For local EFW2 information, specify this information:
    Active
    EFW2 Reporting will only create output files for locals that have an active status.
    Note: Locals only in the active status are displayed in the EFW2 Reporting Locals list.
    Local File Name

    Specify a file name for the local file.

    EFW2 Reporting will use the local file name specified here as the output file name.

    Local Tax Category
    Specify the Tax Category for the Tax Authority. This is found on the local tax Deduction Code Taxes tab. If left blank, then the application creates a local tax file for tax category 01.
    Note:  EFW2 Reporting can only be run to create one local EFW2 file per tax authority at a time. If a Tax Authority has multiple local taxes (identified by different Tax Category values), then specify the data in Tax Authority Configurable fields for the first Tax Category. Run the first Generate EFW2 File action to create the first local file, and then update the data in Tax Authority Configurable Fields for the second Tax Category. Run a second Generate EFW2 File action to create the second local file.
    RS 005-009 Tax Entity Code
    Specify up to five digits for the RS record field 5-9.
    RS 276-286 Include State Wages
    Select this check box to include state wages.
    RS 287-297 Include State Tax
    Select this check box to include state tax.
    RS 298-307 Other State Data
    Specify up to ten digits for the RS record field 298-307.
    RS 308 Tax Type Code
    Specify the value for the tax type code for the RS record field 308. If no value is specified here, then the default value is tax authority field authority type.
    RS 331-337 State Control Number
    Specify up to seven digits for the RS record field 331-337.
    RS 338-412 Supplemental Data 1
    Specify up to 75 characters for RS record field 338-412.
    RS 413-487 Supplemental Data 2
    Specify up to 75 characters for the RS record field 413-487.
    Note: Spaces are acceptable characters for the RS fields listed above.
  10. Click Save.
