Defining email templates

Perform this task to create a template to send a pre-defined appointment to an employee or during assignment to a group.

  1. Sign in as Health & Safety Management.
  2. Select Set Up > Occupational Health > Email Templates.
  3. Click Create.
  4. Specify this information:
    Template
    Specify a unique name for this template.
    Description
    Specify when this template should be used.
    Template Type
    Pause on the field, click Field Actions, select Text Variable Replacement, and select the action to trigger the sending of an email.
    Active
    Optionally, clear this check box to hide this template from users.
    To
    Pause on the field, click Field Actions, select Text Variable Replacement, and select the variable that represents the email address of the recipient. For example, {EmployeeEmail}.
    CC, BCC
    Optionally, pause on the field, click Field Actions, select Text Variable Replacement, and select the variable that represents the email address to copy. For example, {InvestigatorEmail} if this health component was assigned in response to a safety incident.
    From
    Pause on the field, click Field Actions, select Text Variable Replacement, and select {ManagerEmail}.
    Subject
    Pause on the field, click Field Actions, select Text Variable Replacement, and select the options to be inserted to identify this email. You can type free text to accompany the variables.
    Body

    Specify the text of the notification.

    Optionally, pause on the field, click Field Actions, select Text Variable Replacement, and select the options to be inserted to identify this email.

  5. Click Save.
