Defining a goal year
A goal year defines a start and end date, an action plan frequency, and whether an error or a warning should be issued when the total weight of all goals for the year does not equal 100 percent at the time the year goals are submitted in batch.
- Access Administrator > Setup > Goals > Goal Years.
- Click New.
-
On the Goal Year form, use the following guidelines to specify field
values.
- Goal Year
- Type the goal year with a description. If you do not type a description, the field is populated with the information from the first Goal Year field.
- Start Date
- Specify the start date. It can be any date within the year. For example, for your goal year to match your fiscal year and your start date is May 1st, the end date is calculated by the system as April 30th of the following year.
- Current Goal Year
- Only one goal year can be marked as current. This is the
year that is the default on all organizational and resource goals. The year's start
and end dates also are the default on the goals. If there is only one goal year
defined, it is automatically marked as the current goal year.
If you define a new year and mark it as Current Goal Year, a confirmation message is displayed to remind you that the previous current goal year is no longer the current goal year.
- Action Plan Frequency
- Select how often action plans will be created (Monthly,
Quarterly, Semi Annually, or Annually).Note: After you save the goal year, you can no longer change the frequency. You must delete the goal year record and recreate it.
- 100% Goal Weight Validation
- This option is applicable to goal types with the Approve
Goals By Year option checked. These goals must be submitted in batch per resource,
per year and the total weight of these goals must equal 100%.
If you select Error, the initiator cannot submit the goals if the total weight is not 100%. If you select Warning, the initiator receives a warning but can submit the goals.
-
Click Save.
The Periods tab is displayed with the action plan periods generated by the system. You cannot change the periods. To change the periods, you must delete and specify the goal year again before goals are attached to it.
- On the Periods tab, you can specify a due date for each period. An alert appears on an Action Plan Period if the action plan is not approved by the due date.
-
On the Goal
Types tab, review the goal types that can be used with this goal year. You
can inactivate goal types by clearing the Active check box or you can delete goal types for this goal year. If a
organizational goal or resource goal exists for this year and goal type, you can only
inactivate the goal type.
For goal types that have the Use Action Plans option selected, you can select these options:
- If you select Action Plan Required, a resource is required to create action plans. Period records are created for a resource goal when the goal is created. If you do not select this option, it means action plans are not required. The resource can create action plans using the Create Action Plan Period action to create the action plan periods.
- If you select Action Plan Approval Required, action plan period records are created in Draft status and action plans are available to submit them for approval. If you do not select this option, action plan period records are created in Approved status.
-
On the Goal
Categories tab, review the goal categories that can be used with this goal
year.
- You can inactivate goal categories by clearing the Active check box or you can delete any goal categories for this goal year. If any organizational goal or resource goal exists for this year and goal category, you can only inactivate it.
- You can change these values, but only if no organizational goal or
resource goal exists for this year and goal category:
- Resource Goal Weight Range
- If you specify a range, resource goals created for this category must have a weight within this range.
- Aggregate Limit For Goal Category
- If you specify an aggregate limit, the total goal weight for all goals in this category cannot exceed this limit. Resources will not be able to create, update, or submit goals if the limit is exceeded.
- Goal Is Required For This Category
- Select this option if you require at least one resource goal to be defined for this category. Submitting resource goals for this goal year will not be allowed if no resource goal exists for this year and category.
