Sending an email correspondence for a corrective action

Perform this task to create an email message that is related to a corrective action or track existing correspondence that is related to a corrective action.

  1. Select Manager > My Staff > My Staff.
    Open the employee record and click the Correspondence tab. Click Create Email.

    Or, select Administrator > Employee Relations > Corrective Actions or Generalist > Employee Relations > Corrective Actions. Open the corrective action record and click the Correspondence tile. Click Create.

  2. On the Choose an Email Template page, complete the Email Template field, then click Next.
    If a suitable template is not available, an administrator or HR generalist can create one.

  3. On the Edit Email Text page, complete this information:
    To
    Type the name of the employee who will receive the email.
    From
    Optionally, edit the email address of the sender, which is established by the template.
    CC and BCC
    Optionally, include additional, interested recipients who are not the focus of the corrective action. For example, include the employee's manager. The identities of recipients who are placed in the BCC field are not revealed to other recipients.
    Subject
    Optionally, edit the subject of the email, which is established by the template.
    Body
    Optionally, edit the content of the message, which is established by the template. If your organization has set up a logo, this is included in the email. You can use the toolbar to apply HTML formatting to text in the message.

    Verify that the Acknowledge Link system-defined variable is included in the body of the template. When the email is sent to the employee, the employee can acknowledge the corrective action using a link in the email.

    Attachment
    Optionally, attach a file to the email.
  4. Click Next.
  5. On the Review and Send Email page, verify details, then click Send.
    The employee receives the email with the link to acknowledge the corrective action.
  6. Click Exit to leave the wizard.
