Mass purging correspondence records

Note: Not applicable if you are using Infor Learning Management.

If your define a notification to save the correspondence generated, each email that is sent when the notification is triggered is kept as a correspondence record in Manage Learning > Notifications > Correspondence Tracking. To manage the size of your saved correspondence records, you can periodically mass-purge old correspondence records.

Note: You can also purge individual correspondence records one at a time.
  1. Select Development Planning > Utilities > Notifications and Correspondence.
  2. On the Correspondence tab, select Purge Correspondence Records.
  3. Specify this information:
    Correspondence Source

    You can select a correspondence source to purge only correspondence records generated by one type of event (such as a registration being confirmed).

    Recipient Category

    You can select a recipient category to purge only correspondence records generated as a result of a notification template associated with the recipient category.

    Days Old

    This is the only required field. Specify the number of days that triggers the deletion. All correspondence records that are at least as many days old as the days you specify and that meet any other criteria you specify will be purged.

  4. To purge the correspondence records that meet the selected criteria immediately, click OK.

    or

    To let the system automatically purge correspondence records according to a schedule, click Schedule and define how often, on what days, and at what time you want the system to purge the correspondence records that meet the selected criteria.

  5. Click the View Scheduled Correspondence Actions tab to track the progress of your scheduled purge action.
  6. Check the View Progress tab to monitor the progress of the action.
