Setting up email automation for mentor actions
To automatically send an email for an action, you must set the action to Automatic Email and attach a template. If you attach two templates, two emails will be sent at the same time.
- Select Development Planning > Manage Mentors > Email Automation.

Specify this information:
- Effective Date

Specify the date on which the email automation settings take effect.
- Email rule 1

For each action for which an automatic email is to be sent, select Automatic Email.
- Email template 1

If you selected Automatic Email for any action in Email Rule 1, select the template to be used for that action.
- Email rule 2

For each action for which a second automatic email is to be sent, select Automatic Email.
- Email template 2

If you selected Automatic Email for any action in Email rule 2, select the template to be used for that action.

Click Save.
The actions described in this table occur when automatic email is set for an action.
Action Description Designate As Mentor If you select Automatic Email for this action, an email is sent to the recipient(s) defined in the attached email template(s) when a resource is designated as a mentor by the learning manager/administrator, or by the manager. Remove As Mentor If you select Automatic Email for this action, an email is sent to the recipient(s) defined in the attached email template(s) when a resource is removed as a designated mentor by the learning manager/administrator, or by the manager. Assign Mentor If you select Automatic Email for this action, an email is sent to the recipient(s) defined in the attached email template(s) when a resource is assigned a mentor by the learning manager/administrator, or by the manager. Assign Mentee If you select Automatic Email for this action, an email is sent to the recipient(s) defined in the attached email template(s) when a mentor is assigned a mentee by the learning manager/administrator, or by the manager.
