Registration process
Prerequisites
Before any resource can be registered for a session, these conditions must exist:
-
(Learning budgets only) The resource must be approved for the development activity.
-
A development activity must be in Needs Registration or Wait Listed status to allow registration. For organizations that use learning budgets, the development activity must be in a finalized budget.
-
If the development activity uses sessions, at least one open session must exist for the development activity.
Note: If the development activity does not use sessions, the resource development activity is automatically assigned a Confirmed Registration status when it is assigned (no learning budgets) or approved (learning budgets). -
Registration must be open for the session the resource wants to attend. (Registration can occur on or after the registration begin date.)
Registrants
-
Resources can request a registration from their development plan or their Development Tasks list. Manager approval may be required for the registration.
(No learning budgets only) Resources can also select a session at the time that they request a development activity.
-
Managers can register a direct report from their Development Tasks list or the direct report's development plan.
(No learning budgets only) Managers can also select a session at the time that they assign a development activity to a direct report.
-
Mentors can register a mentee from their mentor Development Tasks list or the mentee's development plan.
(No learning budgets only) Mentors can also select a session at the time that they assign a development activity to a mentee.
-
Learning managers can register any resources for any development activities that are in Needs Registration or Wait Listed status.
Learning managers can also select a session at the time that they assign a development activity to a resource.
Registration process
These are the main features of the registration process:
-
(Learning budgets only) Resources cannot be registered until the development activity has been approved by the learning manager. Until then, the development activity remains in Requested Activity status.
When the learning manager approves the development activity, the status changes to Needs Registration. The resource, resource's manager, or resource's mentor can then register for a session.
-
(No learning budgets) Resources can be registered for a development activity and session in one action or they can be assigned to a development activity first, then registered for a session.
-
Resources are allowed to register for multiple sessions of the same development activity. For example, a resource can be wait listed for multiple sessions. After the registration is confirmed for one session, the other registrations are automatically cancelled.
-
If the organization requires manager approval for a resource-initiated registration, the development activity is in Requested Registration status until the manager approves or reject it. The resource cannot request registration for another session until the registration request is processed.
Note: The learning manager can also approve or reject a registration request on behalf of the manager.-
If the registration request is rejected, the development activity remains approved and the resource can request a registration for another session.
-
If the registration request is approved, the registration can be confirmed if space is available or wait listed (if wait listing rules allow it).
-
-
If the organization does not require manager approval of resource-initiated registrations, the registration can be confirmed if space is available or wait listed (if wait listing rules allow it).
-
At any time, resources can withdraw from a session, or their manager, their mentor or the learning manager can cancel the registration. This affects only the registration status, not the development activity status. The resource can be registered for another session.
-
If automatic email notifications are configured, notifications are sent whenever a registration is confirmed, wait listed, cancelled, withdrawn, or rejected.
