Defining compensation awarding views

Use this procedure to define what the managers see when they make salary awards and rules for the awards.

  1. Select Compensation > Set Up > Compensation Planning > Awarding Views.
  2. Click Create.
  3. Specify this information:
    Compensation Awarding View
    Specify the name for the awarding view.
    Version Date
    Specify a version date.
    Note: The version date of the view must match the version date of the planning rules that are attached to this view.
    Status
    Select whether the compensation awarding view is preliminary, final, or inactive. Change the status to Final after you complete setup for the view.
  4. Click Save.
  5. Select up to three planning rules to attach to the compensation awarding view.
    On the Planning Rules tab, specify this information:
    Salary Award Processed First
    Select the planning rule to be processed first.
    Note: If one of the planning rules is a market adjustment rule, select it as the first rule if you want the merit increase selected for the second rule to be based on the updated pay rate after the resource is brought up to the minimum. Select the market adjustment rule as the second rule if you want the merit increase selected for the first rule to be based on the current pay rate.
    Salary Award Processed Second
    Select the award to be processed second.
    Bonus Award
    To have the compensation awarding view include a bonus award, attach the bonus award rule to the view.
    Equity Award 1, Equity Award 2
    Attach up to two equity rules on an awarding view.
    Note: If you select two equity rules, the order in which you select them does not affect the budget calculations.
  6. On the Awarding Period tab, specify this information:
    Compensation Awarding Period Option
    Select whether the award period is based on focal period or an anniversary date.
    Start and End Dates
    If you selected Focal Period as the compensation awarding period option, select the range of dates during which the managers will make compensation awards; for example, January 1, 2019 to February 1, 2019.
    Note: The compensation analyst can extend the awarding period after the compensation awarding view status has been changed to Final and budgets have been calculated.
    Award Date Option
    If you selected Focal Period as the compensation awarding period option, select the date on which the award is effective.

    If you select Version Date, the award becomes effective on the compensation awarding view version date.

    If you select Calendar date, you must also select the specific award date in the Calendar Date field.

    To select multiple award dates, based on the eligibility group to which resources belong, select Eligibility Group Award Date. The Eligibility Group Award Date tab is shown.

    On the Eligibility Group Award Date tab, add eligibility groups and the award date for each group. For example, if different positions have different pay cycles and you want the award to become effective on the first day of a pay cycle, you can create eligibility groups for positions with the same pay cycle, add the eligibility groups to the compensation awarding view, and assign an award date for each eligibility group.

    You can also specify an award date without an eligibility group. This award date will be used for all resources that do not belong to any of the eligibility groups listed on this tab.

    Anniversary Date Option
    If you selected Anniversary Date as the compensation awarding period option, select the date to use as the anniversary date; for example, start date, adjusted start date, and so on.
    Period Before Anniversary Date
    Select the amount of time before the anniversary date for the awarding period. For example, 30 days.
    Period After Anniversary Date
    Select the amount of time after the anniversary date for the awarding period. For example, 30 days.
  7. On the Awarding Rules tab, specify this information:
    Currency Exchange Date
    Select the exchange rate date to be used to convert the work assignment currency amounts to the awarding view currency amounts. The default is the current date.
    Budget Calculation As of Date
    Specify the date on which the calculation will be based; for example 10 percent of the base salary as of this date.
    Award from One Rule
    Select this check box to limit managers to giving an award from only one type of rule. For example, resources may have a promotion increase but not a merit increase, or a merit increase but not a promotion increase.
    Adjust Award By Proration Factor
    Select this check box if you want awards specified by managers to be automatically adjusted by the proration factor when specifying awards for salary rules that use proration.
    Caution: 
    Do not use this option if you are using the default budget amounts because those amounts are already prorated. You would not typically use this option if you prorate guidelines, because managers must not specify prorated amounts that are further adjusted by the proration factor.
    Roll Up Approval
    Select this check box to enable a tree view list for the compensation analyst, budget owner, and parent manager on their compensation awarding views. When this check box is selected, the read-only Manager Structure As Of Date field is displayed. This date is the date that the supervisor structure was fixed in compensation for this feature. If changes are made after this date, they do not affect the roll up information in compensation.
    Final Approval Manager Level
    Use this field to designate the final manager level in the manager structure to finalize awards for the managers who report up to them.

    Managers or parent managers above the defined level are not required to finalize or revise awards for those who report up to them. Lower level supervisors that submit their compensation awarding for approval must be approved by their manager as part of their rollup.

    For example, if the Final Approval Manager Level field is 2 and the Levels Above Final Approval Level field is Lower Level Values, managers with a value of 3 or higher are lower in the manager structure. Each manager up to and including level 2 cannot finalize their budgets and awards until all lower levels have finalized, because those levels roll up to them. Roles higher in the structure, such as level 1, can finalize their budgets without waiting for rollups to occur.

    Levels Above Final Approval Level
    Select Higher Level Values or Lower Level Values.
    Allow Reassign Budget Action By Managers
    Select this check box to give managers the ability to reassign budgets to other managers, based on their level in the supervisor structure. If this check box is cleared, the Reassign Budget action is only available for the compensation analyst.
    By Manager Level
    Specify a manager level. If this field is blank, the Reassign Budget action is displayed for all managers.
    Levels Above
    Select Higher Level Values or Lower Level Values. This field is required when the By Manager Level check box is selected.
    Approval Process Required On Planning Rules
    This check box is available if an option was selected in the Approval Process Rule field. This option is not available if the Roll Up Approval check box is selected.
    Approval Process Rule
    Select a rule with an approval process.
    Budget Owner Manager Level
    If the budget owner is someone other than the resources' direct manager, specify the minimum manager level that can own (and therefore award) the budget for this compensation awarding view. After the awarding view is released to budget owners, they can release their budgets to another manager up or down the manager structure (but not lower than the resources' direct managers).
    Note: Budget calculations create a budget for each direct manager included in the budget. Only budget owners and their managers can access the calculated budgets.

    If you leave this field blank, the budget owner for each calculated budget is the resources' direct manager.

    Budget Owner If Manager Level Not Found
    If you specify a manager level in the Budget Owner Manager Level field, specify the method used to assign a budget owner if the specified manager level is not found.

    Select Lower Manager Level if your organization's manager levels get lower as you climb up the manager structure. The budget is assigned to the first manager up the manager structure that is associated with a manager level lower than the specified manager level.

    Select Higher Manager Level if your organization's manager levels get higher as you climb up the manager structure. The budget is assigned to the first manager up the manager structure that is associated with a manager level higher than the specified manager level.

    If you leave this field blank and the manager level is not found for a budget, the budget owner is the resources' direct manager.

    Lump Sum Rule
    If more than one planning rule uses lump sum payments, select the lump sum rule to be used.
    Allow Manager Amount Adjustments
    Select this check box to give managers the ability to override calculated lump sum amounts. They can also specify a lump sum for a resource who did not receive a calculated lump sum.
    Allow Manager Percent Adjustments
    Select this check box to give managers the ability to override calculated lump sum values by specifying a new percentage. This results in a recalculation of the lump sum amount.
  8. Select the Awarding Display tab to define what the managers can see and do on their Compensation Awarding view. Specify this information:
    1. To give managers the ability to provide reasons and comments for awards, select the Allow Award Reasons And Comments check box.
    2. Under Detail Sections Display, select check boxes for the information to be displayed as tabs on the manager's compensation awarding view. Each tab contains information that is applicable to the selected resource.
      Guidelines
      Select this check box to give managers the ability to see awarding guidelines.
      Proration
      Select this option if one or more of the rules use proration to show proration information on the awarding views for managers and compensation analysts.
      Pay Rate History
      Select this check box for managers to see the pay rate history for resources.
      Analysis
      Select this check box for managers to see compensation analysis which includes the percentage in the salary range and compa ratio.
      Salary Structure
      Select this check box if you want managers to see the current salary structure for the resource.
      Other Pay Rates
      Select this check box if you want managers to see the resources' other pay rates.
      Additional
      Select this check box for managers to see more awarding details, such as lump sum payments, percentages and incentive compensation target, including payout for bonus award budgets.
      Base Currency
      Select this check box for managers to see award information in the currency on the rule (for example, budget currency) in addition to the resource's work assignment currency.
      Bonus Calculation
      Select this check box if a Bonus Award Planning Rule is specified. The field enables a detail section to be displayed in the manager's awarding view. It shows a list of payouts finalized in Incentive Compensation that results in a bonus budget in compensation awarding.
      Performance History
      Select this check box for managers to see the resource's performance history.
      Number of Years
      If you selected Display Performance History, specify the number of years of performance history to be displayed.

      If you leave this field blank, all years of performance history are displayed.

      Equity Grant History
      Select this check box for managers to see the resource's equity grant history.
      Number of Years
      If you selected Display Equity Grant History, specify the number of years of equity grant history to be displayed.

      If left blank, all years of performance history are displayed.

    3. Under Column Display - Awarding Information, select check boxes for the information to be displayed as columns on the manager's compensation awarding view.
      Performance Rating, Allow Updates
      Select the Display Performance Rating check box for the performance field to be displayed in the manager's awarding view. This field can be the default from the most recent appraisal or it can be determined by budget calculations. Select the Allow Updates check box to give the manager the ability to change the rating.
      Rating Score, Allow Updates
      If the performance appraisal rating level is derived from a rating score, select the Display Rating Score check box to show the rating score. Select the Allow Updates check box to give the manager the ability to modify the score.
      Note: This information is displayed only if ranges of rating scores are defined for the rating scale used in the overall performance appraisal rating. It is displayed if the rating specified on the performance appraisal is a score rather than a rating level.
      New Pay Rate, Allow Updates
      Select this check box to give the manager the ability to see the new pay rate. Select the Allow Updates check box to give the manager the ability to modify the new pay rate.
      Note: You must select New Pay Rate if you did not select the option to show the Pay Rate Increase Percent or Amount fields on the planning rule for salary awards.
      Hourly Rate Budget
      Select this check box for managers to see budgeted hourly rates.
      Note: This option is typically used when the pay rate type for resources is Hourly.
    4. Under Column Display - Resource Information, select the check boxes to represent additional resource information that managers see on their compensation awarding view. These selections are displayed as read-only columns.
      Compa Ratio
      If resources are in a salary structure, select this check box for managers to see each resource's compa ratio relative to the salary structure.
      New Compa Ratio
      If resources are in a salary structure, select this check box for managers to see the resource's new compa ratio when the increase is specified.
      Percent Of Salary Range
      If resources are in a salary structure, select this check box for managers to see the resource's percent of salary range.
      Percent Of Salary Range
      If resources are in a salary structure, select this check box for managers to see the resource's new percent of salary range when the increase is specified.
      Position
      Select this check box for managers to see the resource's position.
      FTE
      Select this check box for managers to see the resource's FTE.
      Annual Hours Per 1 FTE
      Select this check box for managers to see the annual hours represented by one FTE.
      Pay Rate
      Select this check box for managers to see the resource's current pay rate.
      Pay Rate Type
      Select this check box for managers to see the resource's current pay rate type (Annual, Monthly, and so on).
      Number Of Months
      For monthly resources, select for the manager to see how many months for which the resource is paid.
      Annual Salary
      Select this check box for managers to see the resource's annual salary.
      Work Assignment Currency
      Select this check box for managers to see the resource's work assignment currency.
      Geographic Differential
      For resources in a salary structure, select this check box for managers to see the resource's geographic differential.
      Salary Structure Grade
      For resources in a salary structure, select this check box for managers to see the resource's salary structure grade.
    5. Under Instructional Text, add text to be displayed on the awarding view for a manager. Select the Display Instructions For Managers check box and add text to the Instructions text box.
      The text is displayed when a manager selects Manager Space > Adjust Compensation > Compensation Awarding and selects an awarding view.
  9. Click Save.
