Process for validating or completing resource checklist components
All components in a resource checklist must be acknowledged, validated, completed, or waived before a manager or mentor can complete the resource checklist.
These rules apply to competencies, skills, and checklist tasks components:
- Only resources can acknowledge their own checklist components.
- If a checklist component requires acknowledgment but not validation, acknowledging the component completes it.
- If both acknowledgment and validation are required, a resource checklist component can be acknowledged before or after it is validated.
- If a resource checklist component requires validation, the checklist
component itself determines who is can validate.Note: Learning managers and administrators can always validate a component.
- Checklist task components can be validated by mentors or managers. If both are selected for the checklist component, either the manager or a mentor of the resource can validate the component.
- Competencies and skills components can be validated by mentors, managers, peers, mentors with the same competency or skill, or managers with the same competency or skill. Any or all of these options can be selected for a competency or skill component. At a minimum, either the mentor or the manager must be selected.
- If a peer can validate a competency or skill, that peer must be a resource with the same competency or skill. A resource can request a specific peer to validate the competency or skill. A peer can validate a competency or skill for anyone that needs validation without being requested.
- If multiple roles are enabeled validate a resource checklist component, any of these roles, including peers, can validate it. The first person who validates a resource checklist component completes the checklist component.
- Managers and mentors who are enabled to validate a checklist component are
also enabled to waive it. Waiving a component provides an option for managers and mentors to
complete a resource checklist after the other checklist components have been completed.
Note: Learning managers and administrators can always waive a component.
Activity checklist components get completed when the learning manager completes the resource's activity.
- When a resource is assigned to a checklist that includes an activity component, the resource may be immediately registered for a session if the checklist component was defined with the Enroll In First Available Session and a session is available.
- If the Enroll In First Available Session was not selected or there was no available session at the time that the resource checklist was created, the status of the component is Needs Registration. The resource can request a registration for a session or the resource's manager or mentor can register the resource for a session when it becomes available. If the organization requires manager approval for resource-initiated registration requests, the manager must approve a resource-initiated registration request before the registration is confirmed.
- After the registration is confirmed, the activity is processed as described in Activity and session completion process. If the activity is Complete, the resource checklist component is Complete. If the activity is Failed To Complete, the manager and learning manager can re-register the resource for another session.
- A manager, mentor, or learning manager can waive an activity component for a resource. Managers and mentors can complete a resource checklist after the other checklist components have been completed.
