Mass assigning enrollments to activities
Resources who are associated with an eligibility group can be assigned simultaneously to an activity or to a specific session.
An activity can be assigned to five or more eligibility groups simultaneously.
An enrollment renewal period can be specified for the activity or session. Users can specify an enrollment due date by a specific date or by any date within a specific time period. Every time the action runs, any employee who is a member of the specified eligibility group who does not have an active enrollment in the activity or session is enrolled.
Once an enrollment has been assigned, users can see them on the Enrollment screen by right-clicking the ellipsis and selecting My scheduled actions.
- Select Learning and Development > Resources > Mass Distribution > Activity Enrollment.

Specify this information:
- Eligibility Group

Select up to five eligibility groups.
- Activity ID

Select the activity to assign to the members of the eligibility groups.
- Session

If you select a session, do not select the Enroll In First Available Session or Allow Resource to Select Session. One of the three options must be selected unless the activity does not use sessions.
- Start Date

Specify the start date for the activity. To default to the date that the action runs, do not specify this field.
- Due Date

Specify the due date for the activity. Subsequent fields become available, depending on the value that you specify in this field.
- Anytime: The Due Date is unspecified.
- By specific date: Specify this option to renew enrollment on a specific date. If you specify this option, then specify the actual date in the Due Date field.
- Within specified number of days after enrollment: Specify this option to renew enrollment from a period from enrollment to a specific number of days after enrollment. If you specified this option, then specify the number of days in the Days field. You specify scheduling details in subsequent steps of the process.
- Within specified number of months after enrollment: Specify this option to renew enrollment from a period from enrollment to a specific number of months after enrollment. If you specified this option, then specify the number of days in the Months field. You specify scheduling details in subsequent steps of the process.
- Within specified number of years after enrollment: Specify this option to renew enrollment from a period from enrollment to a specific number of years after enrollment. If you specified this option, then specify the number of days in the Years field. You specify scheduling details in subsequent steps of the process.
- Required

The enrollment is required by default. Clear this check box if the enrollment is not required.
- Priority

Specify a priority number for the activity. This is informational only.
- Comments

Specify comments in support of the activity request.

If you are not scheduling automated renewal and want to
process this action immediately, click Submit. The process is complete.
Or
If you are scheduling automated renewal or want to schedule the action for a later time or date, then click Schedule and proceed to the next step in the process.

If you clicked Schedule, then specify these fields in the
Schedule section:
- Scheduled Action Name

Specify a unique name for the action.
- Notification Type
- Specify when the notification is activated.
- Never: Notification is disabled.
- On Failure: Notification occurs only when the process does not run successfully.
- Always: Notification occurs for all run attempts, successful and not.
- Action Group: A special notification type for actions that invoke other actions. It means a success notification is sent when the entire group is done. However, if any action group member fails, then a failure notification is sent. If an action is invoked in the background outside the action group, then that action inherits this notification type but starts its own, separate group. If you have the administrator email configuration parameter defined; that is, config - execjob.failure.email, then that address receives failure emails regardless of the above setting.
- Email Address
- specify one or more email addresses to receive notification of the situation described in the Notification Type field. Separate addresses with a semicolon.

In the Execution Duration section, specify these
fields:
- Email Address
- Specify one or more email addresses to receive notification if the report execution duration exceeds the value in the Threshold Minutes field. Separate addresses with a semicolon.
- Threshold Minutes
- Specify the number of minutes after report generation has begun that a notification is to be sent if generation has not concluded.

In the Scheduling Details section, specify these fields.
- Schedule Type

Specify a type of scheduling. Your selection in this field changes the title and combination of fields in the section beneath. Your selections act as a set of filters. Only dates that pass all filters are used to schedule an action.
- By Frequency
- By Date In Month
- By Day
- By Week Number

- First Time To Run
- Specify the date and time the action is run initially.
- Latest Time To Run
- Specify the date and time the action is run for the last time.
- Schedule Exclusion
- Specify a time within the first and latest times when the report must not run. You can use these fields to prevent conflicts with other known jobs.
- Schedule Exclusion Set
- Specify times within the first and latest times when the report must not run. You can use these fields to prevent conflicts with other known jobs.
- Run Action Concurrently
- Select this option to run the action at the same time that other actions are run.

In the Action Failure Configuration section, specify these
fields:
- Strategy

Specify a strategy that is employed in case the action fails.
- Report Options
- Specify to receive the schedule report.
- Threshold Minutes
- Specify the maximum number of minutes befn action is handled as failed.
- Number Of Retries
- Specify the number of times the system retries the action when it fails.
- Continue On Failure To Run
- Select this check box to instruct the system to proceed to the next task after failure if the number of retries has been exhausted.
- Click OK.
- Click Submit.
