Adding an external candidate

External candidates are created automatically in Talent Acquisition when a candidate registers on organization's career web site. Internal candidates are created automatically if the organization is configured to auto create candidates and the internal candidates are given the appropriate security.

In addition, recruiters can create external candidates manually. For example, they might have a high-profile position for which they do not want to require the candidate to apply online, or they may have electronic resumes that they want to add to the system so they can compare the candidates with other candidates already in the system. Or they may meet a candidate that they like, and send them a log in to register in the career site and download their resume.

Once they create candidates, recruiters can email them to invite them to visit the career web site and create their profile. The email contains a system-generated log in that the new candidate can use to log in.

Note: 

If the recruiter specifies only the candidate's name and email during the "Add A Candidate" process, then exits the form, the candidate will be taken to the Registration page, where a resume parsing option will be available (assuming the organization uses resume parsing).

Recruiters can also attach a candidate to a job and email the candidate to check the position on the career web site. Again, the email contains a system-generated log in that the new candidate can use. Or recruiters can attach a candidate to a job and, if they have the candidate's agreement, mark the candidate as having applied.

To add an external candidate

  1. Access Recruiter > Add A Candidate.

    or

    Access Recruiter > Candidate Pool, and select All Actions Menu > Enter New Candidate.

  2. Specify the candidate's first name, last name, email address, and phone number and click Next.
  3. On Additional Candidate Details, click one of the following options.
    • Create From Resume/CV

      If you have a resume in electronic format, and your organization supports resume parsing, click Create From Resume/CV. The system will parse the resume into a profile that you can then edit for the portions that did not get parsed properly.

      1. On Additional Candidate Details, click Create From Resume/CV.

      2. On Select Resume/CV, click the Browse button, navigate to the resume file, and double-click the file.

      3. Click OK to start the uploading process.

      4. On the Registration Confirmation form, click View Profile to access the candidate's profile.

      5. Update the profile.

      6. Click Finish.

      7. Select one of the following options or click Exit.

        • Email Candidate.

          Select this option to send the candidate a link to the external candidate space. Every field is required.

          When the candidate receives it, the email will contain a link to the external candidate space as well as a log in. The candidate can then apply for jobs.

        • Attach Candidate.

          Select this option if you want to apply for a job on the candidate's behalf. The Job Requisition, Job Posting, and Source fields are required. You can also email the position to the candidate.

          Note: Requisitions in draft, on-hold, closed, or canceled status do not display as options in the Job Requisition list.

          If you email the position to the candidate, the email will contain a link to the external candidate space as well as a log in so the candidate can apply.

          If you do not email the candidate or do not expect the candidate to apply in person, you can complete the job application by opening it on Candidate Pool and selecting Mark As Applied.

        • Exit

          If you select Exit, it closes the candidate creation wizard. You can view and update the candidate's profile on Candidate Pool and attach the candidate to a position at a later date.

    • Quick Profile

      If you do not have an electronic resume or your organization does not use resume parsing, click Quick Profile to specify the candidate's contact and preferences information. You can later add more information.

      1. On Additional Candidates Details, click Quick Profile.

      2. On Create Resume/CV - Contact Information, use the following guidelines to specify field values and click Next.

        Contact Information

        The given name, family name and preferred contact methods are required.

        Primary Contact Information

        The email address is automatically filled from the previous page. If the candidate's Preferred Contact Method is Mail, type the mailing address.

        Note: 

        If you type an address, the country is required.

        Primary Phone Number

        You can specify a home phone, work phone, or mobile phone and select one of these numbers or the secondary phone number as the preferred contact number. You can also specify a fax number.

        Secondary Contact Information

        If the Preferred Mailing Address is Secondary, it is recommended to specify a secondary address.

        Secondary Phone Number

        You can specify a secondary phone number and select it as the preferred phone number.

        Note: 

        You can select only one phone number on this page as a preferred phone number.

      3. On Create Resume - Preferences, specify the candidate's preferences.

        Preferences include the type of job the candidate is looking for, the candidate's salary expectations, when the candidate would be available to start, and whether the candidate would be willing to travel or relocate. This is basic information a recruiter would use to include the candidate in a search for potential candidates for a specific position.

      4. Click Finish.

        To send an email to the candidate, click Email Candidate.

        To attach the candidate to a position and send an email containing the link to the position, click Attach Candidate.

      5. On the Registration Confirmation form, click View Profile to access the candidate's profile.

      6. Update the profile.

      7. Click Finish.

      8. Select one of the following options or click Exit.

        • Email Candidate.

          When the candidate receives it, the email will contain a link to the external candidate space as well as a log in. The candidate can then apply for jobs.

        • Attach Candidate.

    • Next

      Click Next if you do not want to provide profile information at this time, and select one of the following options:

      • Email Candidate.

        Select this option to send the candidate a link to the external candidate space. Every field on the email form is required .

        When the candidate receives the email, the it will contain a link to the external candidate space as well as a log in. The candidate can then create a profile (through a resume download or manual entry) and eventually apply for a job.

        Note: 

        The candidate will be offered the option to download and parse a resume if you specified only the first page of the Add Candidate wizard. If you specified even partial profile information, the candidate can only create a profile manually and attach a resume that will not be parsed.

      • Attach Candidate.

        Select this option if you want to apply for a job on the candidate's behalf. The Job Requisition, Job Posting, and Source fields are required. You can also email the position to the candidate.

        If you email the position to the candidate, the email will contain a link to the external candidate space as well as a log in so the candidate can apply.

        If you do not email the candidate or do not expect the candidate to apply in person, you can complete the job application by opening it on Candidate Pool and selecting Mark As Applied.

      • Exit

        If you select Exit, it closes the candidate creation wizard. You can view and update the candidate's record on Candidate Pool and attach the candidate to a position at a later date.
