Position default updates setup

Administrators can enable an automatic update of all fields in a requisition, define offer, or hire-type actions when a position is changed with the Enable Position and Defaulting Updates feature. This feature is applicable only to organizations that permit users to change positions on these actions.

When a position is configured in the system, the fields that are associated with the position are set with specific values. When the position is added to a requisition, the values are added too. The position and defaulting updates feature is useful in the case where an administrator or recruiter changes the Position field in the requisition, define offer, or hire-type action.
  • If the feature is not enabled, then when a user changes the value of the Position field the values of the other fields in the requisition, decline offer, or hire-type action do not change. The fields retain the values that apply to the original position.
  • If the feature is enabled, then when a user changes the Position field the values of the other fields in the requisition, define offer, or hire-type action change too. The fields assume the values that apply to the current position.
For example, assume that Position 200 and Position 300 are configured like this:

Now assume that Position 200 was added to a requisition, and the fields in the requisition were populated by the values that are associated with Position 200. Later, a user edits the requisition and changes the value of the Position field from 200 to 300. Two scenarios are possible, depending on the configuration of the enabling position and defaulting updates feature:
  • If the feature is not enabled, then the value of the Position field changes to 300, the Job field retains the value of 10, and the Organization Unit field retains the value of 1. These values, other than the value of the Position field, are inherent to Position 100 and are not updated.
  • If the feature is enabled, then the value of the Position field changes to 300, the value of the Job field changes to 50, and the value of the Organization Unit changes to 25. These values were inherited with the Position 300 configuration.

When this feature is enabled, fields that were automatically updated are indicated by yellow triangles. Defaulting rules apply. For example, if the field is set to Default No Update, then users cannot edit the updated value. Administrators can exempt specific fields from update defaults.
