Creating workflow steps

When you create a workflow, you must add and configure workflow steps. This process includes creating the steps and configuring actions, automations, communication categories, and screenings. These are discussed in subsequent topics. If a workflow step is for a disposition, then you must also specify a reason for the disposition. After you configure the fields in the General menu, you can configure the other settings of the workflow step.

Each workflow must include includes at least one recruiting type step, one hire type step, and one disposition type step.

Note: If you have just created the workflow, then you can proceed to step 3.
  1. Select Talent Acquisition > Workflow Setup > Hiring Workflows.
  2. Select the workflow.
  3. Click Workflow Steps.
  4. Specify this information:
    Display Order
    Specify the position of the step in the context of other workflow steps. The best practice is to set the display order as a multiple of 10 e.g., 10, 20, 30. That way you can add new steps between steps later.
    Workflow Step
    Specify the name of the workflow step.
    Description
    Specify a user-friendly description of the step. This description is shown to users.
    Active
    Make the workflow available to recruiters in the application.
    Required
    Specify if the step is required. If the step is required, then candidates must complete the step before advancing to the next required step. Candidates can be moved backward to any step. Candidates can be moved forward to optional steps but not to required steps.
    Type
    Specify the purpose of the step. The type that you select affects other configurable options in workflow step setup. For example, if the step is for disposition, then you can configure disposition reasons.
    Workflow Category
    Create categories to which you can assign workflow steps. Workflow categories make your workflow library more organized.
    Candidate Application Status Message
    Specify the status that is shown to the candidate during this step.
    Aging Candidate Alert Type
    Specify the units in which time is measured for aging candidate alerts in the application.
    Target {units} In Step
    Specify the number of days, hours, or minutes that must pass before an aging candidate alert is triggered because a candidate has not completed a workflow step. The units are specified in the Aging Candidate Alert Type field.
    Withdrawn By Candidate
    For application routing, specify the step in the workflow in which candidates who withdraw their applications are placed. This field is not available when the workflow step type is Disposition.
    Disposition Reasons
    For steps where the type is Disposition, specify the reason that is assigned to the job application when a candidate withdraws an application.
