Creating employment contract amendment templates

Employment contract amendment templates are used to modify existing approved resource employment contracts . Although they are created in the same way as employment contract templates, the system keeps them separate to give users the option of printing either a complete amended contract or just the amended pages.

  1. Select Administrator > Set Up > Employment Contract Components > Amendment Templates.
  2. Select the contract type for which you are defining an amendment template.
  3. In the Contract Amendment Templates section, click Create.
  4. Define the employment contract amendment template. Contract Type defaults from the type you selected. Use the following guidelines to complete these fields:
    Effective Date

    Required. Specify the date on which the employment contract amendment template becomes effective.

    Template

    Required. Specify the name of the employment contract amendment template.

    Description

    Specify a description for the employment contract amendment template.

    Preferred Document Language

    Select whether the document will be in the employee's or candidate's language.

    Amendment Document Template File

    Attach the document template that will be used to generate an official, printable employment contract amendment document for the resources that are associated with this employment contract template. The document file must be in Word RTF format so it can use merge fields to generate variable or section information. This file controls the format in which the information appears on the document.

    Note: 

    This document template is used only when you generate a document that consists of only the amended sections.

    Active

    The employment contract amendment template is active by default. Clear this check box to make the employment contract amendment template inactive.

  5. Click Save.

    The Contract Template Sections tab appears.

  6. Add sections in one of two ways.
    Note: 

    You can create an amendment template without sections, which lets you reuse the same template for all kinds of amendments. When you modify or add a section for an existing resource employment contract, all affected sections are automatically added to the contract amendment so that you can isolate the changes and generate a document that contains only the amended and added sections.

    • To add existing sections, click the Helper List, select all of the sections to include (use CTRL-Click to select multiple sections), and click the Attach To Template button.

    • To create a new section, click Create.

    Note: 

    Sections that you add outside of the Helper List remain unique to the employment contract amendment template and are not added to the Sections list.
