Creating leave-email templates

  1. Select Administrator > Set Up > Resource Components > Personal Information > Leave Of Absence > Email Templates.
  2. Verify that none of the listed email templates is suitable for your purpose.
  3. Click Create, and specify this information:
    Effective Date

    This field is required. Specify the first date when this template will be available for selection by users.

    Leave Email Template

    MGRCANCELLEAVE.

    Description

    Specify a description for the leave reason. For example, This field is required. Specify a name for the template. For example, Manager Cancels Leave. If left blank, the leave type name defaults.

    Active

    Select the Active check box to make the template active. Clear the check box to inactivate it.

    Preferred Email Language
    Select from among the locales listed to indicate which language the email should use. For example, Resource Locale or Manager Locale.
    To
    This field is required. Pause on the field, click Field Actions, select Text Variable Replacement, and select the variable that represents the recipient's email address. For example, {ResourceEmail} or {ManagerEmail}. You can add multiple recipients to the field.
    CC, BCC
    Pause on the field, click Field Actions, select Text Variable Replacement, and select the variable that represents the email address of an information-only recipient. When the email is sent, values in the CC field are displayed to recipients who are listed in the To field. Values in the BCC field are hidden from recipients who are listed in the To field. You can add multiple recipients to these fields. For example, {OrganizationPersonResponsibleEmail} and {IndirectManagerEmail}.
    From
    This field is required. Pause on the field, click Field Actions, select Text Variable Replacement, and select the variable that represents the sender's email address. For example, {LeaveContactEmail}.
    Subject
    Type subject text into the field, then insert one or more variables into the text. Insert the variable by clicking Field Actions, selecting Text Variable Replacement, and selecting the appropriate variable. For example, type Notification: Manager has cancelled leave request for {ResourceName}, where {ResourceName} is the inserted variable.
    Body
    Type body text into the field, then insert one or more variables into the text. You might be required to scroll to see the Field Actions icon. Insert the variable by clicking Field Actions, selecting Text Variable Replacement, and selecting the appropriate variable. For example, type Please be informed that {Manager Name} has cancelled a leave request for {Resource Preferred Full Name}, Employee number {ResourceID}. Leave was requested by {Requester Name} and was to start on {Beginning Of Leave} and end on {Leave End Date}. In the example, variables replace data to be inserted into the text of the email.
  4. Click Save.
