Terminating resources

Terminating a resource is an action request. Both TERM-PENDING and TERM-FINAL requests can be routed through multiple approvers. Some fields are displayed only to the final approver (HR administrator).

Note: 

Terminating a resource does not remove the resource from the system. A terminated resource can be rehired using the same resource ID.

  1. Select Administrator > Resources > Resources.
  2. Right-click the resource to terminate and select Terminate.
  3. Specify the effective date, relationship to organization, and relationship status.
    • In the Effective Date field, specify the date on which the termination takes effect.
    • When you specify TERM-PENDING in the Relationship Status field, the effective date becomes the termination date.
    • The Relationship Status field can identify the termination as voluntary or involuntary. See Creating relationship statuses.
    • The Relationship Status field determines whether the work assignment is inactivated. If the work assignment is inactivated, then the employee can no longer be paid through HR Talent Payroll processes. If an employee must be paid after termination and the work assignment is left active, no action tags are included in the audit log. This field affects the turnover data for the organization.
  4. Optionally, specify other information related to the termination.
    Reason

    Select the reason for the termination. Terminate action reasons are created under Set Up > Action Reasons with a subject of HCMEmployeeActionRequestTerminate.

    Termination Notice

    Specify the date on which the resource is provided with a termination notice.

    Has Multiple Active Work Assignments

    If the resource has multiple active work assignments, specify Yes. This field is displayed for the final approver.

    Eligible For Rehire

    Select the check box if the resource can be considered for rehiring. This field is displayed for the final approver.

    Note: 

    This field is informational only. You can rehire a resource if not selected.

    Last Date Paid

    Specify the last date on which the resource was paid. This field is displayed for the final approver.

    Termination Date

    Specify the official date of the termination. The effective date is the default in this field but you can change it. This field is displayed for the final approver.

    Last Date Worked

    Specify the last date on which the resource worked. This field is displayed for the final approver.

    Retirement Date

    If the resource termination is due to retirement, specify the retirement date. This field is displayed for the final approver.

    Deceased

    Select this check box if the resource is deceased. This field is displayed for the final approver.

    Death Date

    If the resource is deceased, specify the date on which the death occurred. This field is displayed for the final approver.

    Comment

    Specify relevant comments as required.

  5. Click Submit.
    The termination request is routed to the next person on the approval work flow. When a last approver approves the termination, all of the resource's work assignments are inactivated.
    Note: This is true only if the relationship status used for the action is configured to inactivate the work assignment. In some situations the work assignment may be left active so that the resource can still receive a payment after termination. If the work assignment is left active it also continues to be included in various headcount reports and budget counts if applicable. We recommend the work assignment be inactivated as soon as possible after final payroll processes have been completed.

    Work assignments are inactivated based on the settings of the Relationship Status used for the termination action. If the work assignment is inactivated, the employee can no longer receive payments through the HR Talent Payroll system.
