Amending a resource's legacy employment contract

Use this process only for Legacy Employment Contracts.

HR administrators and HR generalists can update the resource's employment contract after the employment contract has been approved.

  1. Open the resource for which to amend a contract.
  2. Click the Work Assignments tab.
  3. In the Employment Contracts section, right-click the employment contract to amend, and select Amend Contract.
  4. Specify this information:
    Effective Date

    Required. Select the date on which the amendment takes effect.

    Amendment Contract Template

    Select the template for the contract amendment.

    Reason

    Select the reason for the amendment.

    Note: 

    The reason must be an action reason defined with the subject HCMEmployeeContractAmendContract.

    Comments

    Specify comments as needed.

  5. Click OK.
  6. Open the original contract, making sure the As Of Date is set to the contract amendment's effective date.

    The Preview Contract Sections and Contract Amendments buttons are displayed.

    • Click Preview Contract Sections to view all of the sections with the amendments included.

    • Click Contract Amendments to view the Contract Amendments page. Click Preview Amended Sections to display only the amended sections.

      Note: 

      You must set the As Of Date to the contract amendment's effective date to make any changes or see the Contract Amendments button.

  7. To modify any of the sections or add sections, return to the original employment contract. Any modifications and additions are displayed on the amended sections. You can make changes when the contract is in Amended status.
    Note: 

    You can make changes to any sections of the original contract. Even though these sections are not part of the amendment template, they are displayed as amended sections on the contract amendment.

    To add existing sections to the contract, on the Sections tab, click the Helper List, Select the sections, and click Attach To Contract.

    Note: 

    You can make changes when the contract is in Amended status. These changes apply only to this specific contract and do not modify the original sections or template.

  8. When you are satisfied that your employment contract amendment is complete, and before you approve it, generate either the separate employment contract amendment document or the full employment contract document with the amendments included.
    • To generate a full employment contract document that contains all sections, including the amendments, open the original employment contract and click Actions > Create New Document Version.

    • To generate an employment contract document that contains only the amendments, access the amendment page. On the Amendment Contract Details page, highlight the reason code and amendment, and click Actions > Create Amendment Document Version.

      A document version is created on the Versions tab. To view the document, open the version, click the document icon, and click View.

      You can also view the document by clicking the document icon on the original employment contract page, or by clicking the amendment document version on the original employment contract Versions tab.

  9. When you are satisfied that the changes are complete, request approval for the amended employment contract. This changes the status to Pending Amendment Approval.
    • On the original contract page or on the amended contract page, select Actions > Request Approval.

      Note: 

      While the employment contract is in Pending Amendment Approval status, no changes can be made to the contract.

  10. If you must make changes to the employment contract after you have requested approval, you can manually reject the employment contract. This returns the employment contract to Amended status, where you can make more changes.
    1. On the original contract page or on the amended contract page, select Action > Manual Reject.
      Note: 

      A reason code is required. The reason code must be an action reason defined with the subject HCMEmployeeContractInactivateReject.

    2. When you are done, request approval again.
  11. To finalize the amended contract, on the original contract page or on the amended contract page, select Action > Manual Approve.

    The status becomes Active. The only way to modify the employment contract from that point is to create a new amendment.
