Leave administration

If your organization uses the Absence Management application, some of the processes described in this section are not applicable.

Administrators can perform leave of absence tasks from these places:

  • From a specific resource record (Administrator > Resources > Resources > Work Assignments tab for a specific resource.

    The Leaves of Absence section displays all the leaves of absence of all statuses for the resource.

  • From Administrator > To Do > Leave Of Absence.

    The Leave Of Absence view shows leaves of absence organized by status: Pending (requested), Approved, On Leave, and History.

    The History tab shows leaves that have a status of Canceled, Rejected, or Completed.

Requested status

The resource, resource's manager, or HR administrator submits a leave of absence request on behalf of the employee. The leave is in Requested status. The manager or employee who can see the request can update the leave and/or cancel it. The HR administrator can approve, reject or cancel it. .

If the employee (or the HR administrator on behalf of the employee) initiated the request, then only the employee and to the HR administrator can view the requested leave. If the manager (or the HR administrator on behalf of the manager) initiated the request, then only the manager, the employee, and the HR administrator can view the requested leave.

Canceled and rejected leaves are removed from the initiator's view. The administrator can still view the leaves, update them, and change their status back to Requested or Approved.

Approved status

When a leave is an Approved status, the employee, manager, and HR administrator can see the request. The employee, manager or HR administrator can update the request. The result is to change the status back to Requested and to make the person who updated the initiator.

If the employee (or the administrator on behalf of the employee) updates the request, then the manager can no longer view it. If the manager (or the administrator on behalf of the manager) updates the request, then both the employee and manager can view it. The employee, manager, or HR administrator can cancel an approved request.

Canceled requests are not displayed in the employee and manager views. The administrator can still view them, update them, and change their status back to Requested or Approved.

On Leave status

When the employee actually goes on leave, either the manager or the HR administrator clicks the Begin Leave action. This action changes the request status to On Leave.

When a leave is in On Leave status, the employee can only view the list details. The manager can only view the list details and complete the leave (when the employee returns). The HR administrator can update the leave details and even change the leave status to any of the possible statuses.

Completed status

When the employee returns, either the manager or the HR administrator must perform the Complete Leave action. This changes the status of the leave to Completed. When a leave is in Completed status, the employee and manager can only view the details of the completed leave. The HR administrator can update the completed leave and even change the leave status to any of the other statuses.
