The Generate W-2 File action has a Starting Control Number parameter. This is the beginning control number for the range of W-2 records on the generated file,

After successfully submitting the action, the employees control number on Employee Year End Parameters will be updated.

If a control number already exists, then the auto-generated control number will not override the existing value, and the auto-generated number will be used. A message Employee Configurable Fields was not used; Control Number was automatically generated. will be displayed in the log. If there is no control number specified in the employee configurable fields, then the auto generated control number is saved.

If the Starting Control Number is blank, then the control number in the employee year end parameters must be specified. Otherwise, an error Control Number is required; use Employee Configurable Fields is displayed.

The Control Number can be changed manually in the Employee Year End Parameters, however, the uniqueness of the number is not verified by the system.

We recommend performing these steps prior to the generation of the W-2 files for the tax year:

1. Delete the control numbers using the Maintain Year End Parameters action

2. Generate the W-2 files by entering a Starting Control Number

3. If there is a need to re-generate the W-2 files, if you want to retain the control numbers used in the first run (these numbers were saved in the employee year end parameter during the 1st run of the action); do not indicate a starting control number in the succeeding runs of the Generate W-2 File.

  1. Delete the control numbers using the Maintain Year End Parameters action.
  2. Generate the W-2 files by entering a Starting Control Number.
  3. If you must re-generate the W-2 files and if you want to retain the control numbers that were used in the first run, then do not specify a starting control number in the succeeding runs of the Generate W-2 File.
