Generating performance appraisals for a range of employment IDs

Use this procedure to generate performance appraisals for employees within an employment ID range. Based on the appraisal rules for the appraisal form, a manager appraisal is generated for each employee. If self-appraisals are enabled, a self-appraisal is generated for each employee.

  1. Select Administrator > Performance > Appraisals Creation > By Resource.
  2. Specify this information:
    Appraisal Form
    Select the appraisal form from which the appraisal records are generated.
    Employment ID
    Select a range of employment IDs. To create an appraisal for a single employee, select the same ID in both fields.
    Performance Review Period
    If a performance review period is specified on the appraisal form, it defaults in these fields. You can overwrite the dates.

    Specify a date range or a frequency.

    • If the review period is the same for every selected employee, specify the start and end date of the review period in the Date Range field.
    • If each employee has a different review period, specify the review period. For example, a review period that is based on the start date. This period can be a set number of days or months from a specified date or it can be customized.
      • To specify a date, select the period of time from the Frequency list and select a date from the From Date list. The specified date can be the employee's start date, adjusted start date, anniversary date, or other date. For example, for an annual review using the start date as a starting point, select Annually from the Frequency list. Then select Start Date from the From Date list.
      • To specify a custom date, select Custom from the Frequency list. Specify a Number of Units and select a Unit Type. For example, for a review every six weeks, specify 6 in the Number of Units field and select Weeks from the Unit Type list.
      • To generate appraisals for employees who have an appraisal due during this period, select a date range in the From Date Is Between field.
      • To set a range of appraisal end dates, select dates in the Appraisal End Date Range field.
      • When appraisals are created using a Frequency and From Date combination and the Appraisal End Date Range field is left blank, you can specify a number of days in the Select Number Of Days Prior To Appraisal End Date For Appraisal Creation field. The Appraisal End Date Range field is set by default to the current corporate date and appraisals are created in advance by the specified number of days.
    Due Date
    Specify the date by which the appraisal must be completed.
    Make Appraisals Available Immediately
    Select this check box to make the appraisals available to managers and employees as soon as they are created.
    Note: If input rules exist for the manager, the manager cannot update the appraisal outside the specified input period.
    • The appraisals are created in Draft status.
    • If notifications are enabled, the employees and managers are notified that the appraisal is available.
    • If other raters are enabled, an action request to select other raters is sent. The request is sent to the manager's inbasket if only the manager can select other raters. The request is sent to the employee's inbasket if managers and employees can select other raters.

    If you do not select this check box, the appraisals are created in Preliminary status. The appraisals are not available to the employees or managers.

    • You can review the appraisals by selecting Performance > Appraisal Maintenance on the Preliminary tab.
    • You must then make the appraisals available to the managers and employees.

  3. Click OK to process this action immediately or click Schedule to schedule the action for a later date or to set up a recurring schedule to run the action.
    To view the progress of the action, select Start > My Actions.
    • If no appraisals are attached to the appraisal form, the action updates the selected appraisal form. The form is updated with the latest changes to the position criteria, user-defined criteria, and competency models that are included in the appraisal form sections.
    • If an error occurred, you can review the errors by selecting Performance > Appraisal Maintenance on the Errors tab.
