Defining rules for appraisal forms

Specify this information on the Rules tab of an appraisal form.

  1. In the Appraisal Creation section, specify this information:
    Allow Appraisal Creation For
    You can limit or expand how many appraisals to create based on the amount of work the employee has. Select one from the list:
    • All Work Assignments - appraisals will be created for all active work assignments. If employee has two active work assignments, two appraisals will be available upon the appraisal creation. This is the default value for this field.
    • Primary Work Assignments Only - appraisal will be created for only active primary work assignment.
    • Non-Primary Work Assignments Only - appraisals must be created on active work assignments that are not primary.
    Note:  The administrator or generalist can override the value specified in this field when they create an appraisal by group or resource.
    Allow Managers To Create Appraisals
    Select this check box for managers to create appraisals based on this appraisal form for their own employees.
    Allow Self Appraisal
    Select this check box for employees who use this appraisal form to be able to complete a self appraisal. If you do not select this check box, only managers and other raters can perform an appraisal.
    Allow Other Rater Appraisals
    Select this check box if other raters are enabled for employees using this form. If you do not select this check box, no other rater can be requested by or on behalf of the employees.
    Select Other Raters
    If you selected the Allow Other Rater Appraisals check box, select up to three rater types to characterize the relationship between the employees and the other raters.
  2. In the Self Appraisal section, specify this information:
    Must Be Completed Before Manager Completes Appraisal
    Select this check box to prevent managers from completing an employee's appraisal before the employee completes a self appraisal.
    Available To Manager When Completing
    Select this check box for managers to view an employee's finalized self appraisal when completing their own performance appraisal for the employee.
  3. In the Other Raters section, specify this information:
    Resource Can Request Other Rater Appraisals
    If you selected the Allow Other Raters check box under the Appraisal Creation section, and you select this check box, employees can request other raters. If you do not select this check box, only managers and HR administrators can request other raters.

    The other rater request from the employees is routed to the manager who can add and remove other raters from the list, then approve.

    Must Be Completed Before Manager Completes Appraisal
    Select this check box to prevent managers from completing performance reviews for an employee before the employee's other raters complete their appraisals.
    Available to Manager When Completing
    Select this check box to enable managers to view other raters' appraisals for an employee when completing their own performance appraisal for the employee.
    Show Other Rater Names On Consolidated Forms And On Manager Lists

    Select this check box to display the names of the other raters on consolidated forms and lists.

  4. In the Appraisal Text section, specify this information:
    Default Organization Appraisal Text
    Select this check box to enable any appraisal text defined for the organization to default to the Appraisal Text tab when you save the appraisal form. You can then modify it.

    If you do not select this check box, no appraisal text is displayed on the appraisal form unless you specify it on the Appraisal Text tab.

  5. In the Email Automation section, specify this information:
    Default Organization Email Automation
    Select this check box to use the email automation that has been set in the system for the organization.
  6. In the Overall Rating section, specify this information:
    Default Overall Score
    Select this check box for the system-calculated overall score to default to the overall rating.
    Manager Can Override
    This field is available if you select the Default Overall Score check box. Select this check box for the manager to override the default rating that is calculated by the system.
    Normalization Calculation Method
    Select Percent Normalization Calculation or Linear Normalization Calculation.
  7. Specify this information in the Appraisal Approval and Acknowledgment section:
    Require Upline Manager Approval
    To require appraisal approval from an upline manager, select this check box to define who approves the appraisal.
    Routing
    This field is available if you select the Require Upline Manager Approval check box.
    • If you select Follow Direct Manager, the approval process is defined by the employee’s current manager structure. The appraisal is routed first to their manager’s manager, then to the employee.
    • If you select Follow Appraisal Owner, the approval process is defined by the owner's current manager structure. Approval follows the owner's manager structure regardless of the employee’s direct manager.
    Require Employee Acknowledgment
    To require appraisal acknowledgment by the employee, select this check box.
    • If the Require Upline Manager Approval check box is selected, you can select the Require Comments check box to require comments.
    • If the Require Upline Manager Approval check box is not selected, you can select the Make Comments Available check box to make comments available.
    Require Manager Acknowledgment
    To require appraisal acknowledgment by the manager, select this check box. To require comments, select the Require Comments check box.
  8. In the Consolidated Form section, select the check boxes for the elements to be included on the consolidated form.
  9. Click Save.
