Roles in Position Monitoring

Role Tasks Security role
Administrator

Sets up the Headcount field for relationship statuses. When a resource is assigned a relationship status that is Excluded, the resource is not included in budget counts.

Sets up the Headcount field for work assignment types. When a work assignment is assigned, and the assignment type is Excluded, the work assignment is not included in budget counts.

Rebuilds analytics cubes.

If the position site administrator role is used, then manager actors are assigned to the organization units that they are responsible for.

Admin_ST
Recruiter

Flags requisitions to be included in counts as Budgeted and makes sure that they are associated with an organization unit.

May take actions that trigger budget controls and update budget counts.

Recruiter_ST
Position budget manager

Defines all position plans and budget control rules.

If the position site administrator role is not used, then the position budget manager defines and updates all budgets.

Approves or rejects requests for budget variances.

Monitors budgets.

PositionBudgetManager_ST

Note: 

The position budget manager performs tasks on the Position Monitoring process board.

Position site administrator

Requests budgets for active position plans and organization units that they are responsible for.

Monitors budget changes and budget variances for own budgets.

PositionSiteAdministrator_ST

Note: 

This role is assigned to a manager, and accessible from the Manager process board. The role also requires the manager actor to be assigned to the organization units that they are responsible for.

Position budget approver Approves position budget requests.

PositionBudgetApprover_ST

Note: 

This role can be assigned to any user. The approval flow can be modified to be routed to multiple approvers.

Other roles (managers, HR generalists, recruiters) May take actions that trigger budget controls and update budget counts.
Note: 

For personnel actions, the selected relationship status and assignment type determine whether the work assignment is included in budget counts. Examples of personnel actions include hiring, rehiring, transferring, or adding a work assignment. For requisitions, the Budgeted flag determines whether a requisition or job application is included in budget counts.
