Creating a corrective action

To set up items such as groups, types, and templates, see Setup.

  1. Select Manager > My Staff > My Staff. Open the employee record and click the Employee Relations tab. Locate the Corrective Action section.

    If you signed in as an Administrator, select Administrator > Employee Relations > Corrective Actions.

    If you signed in as an HR Generalist, select Generalist > Employee Relations > Corrective Actions.

  2. Click Create.
  3. Specify this information:
    Employee
    This field is displayed only if you signed in as an Administrator or HR Generalist. Select the record for the employee for whom you are issuing this coaching.
    Group
    Select the group that is related to the employee. If there is not a suitable group, an administrator or generalist can create one.
    Step
    Select the level of corrective action severity for this corrective action. For example, your organization can set up a written warning as a corrective action step. If there is not a suitable corrective action step, an administrator or generalist can create one.
    Type
    Select the type of behavior for which you are creating the corrective action. For example, Early Departure would indicate that the employee left work without authorization before the end of the work day.
    Incident
    Specify the date of the incident resulting in this corrective action.
    Meeting Date
    Specify the date and time of the meeting for this corrective action.
    Follow Up
    If there is an additional follow-up meeting scheduled, specify the date.
    End Date
    Specify the end date for this corrective action.
    Days Away
    If the corrective action includes suspension, specify the number of days the employee is away from work.
    Behavior
    Describe the behavior that is the topic of the meeting.
    Desired Behavior
    Describe the behavior that the employee is required to implement.
    Consequence
    Describe the consequence to the employee if the behavior is not achieved.
  4. If you signed in as Administrator or HR Generalist, complete these fields in the Reporting section:
    Work Assignment
    Select the employee's work assignment that was effective at the time of the behavior.
    Manager
    Select the employee's manager during the time of the behavior.
    HR Contact
    Select the HR contact person who is assigned to this employee.
  5. Optionally, specify additional information in a note:
    Date
    Specify the date for this note. If you do not specify a date, the current date is used.
    Time
    Specify the time for this note. If you do not specify a time, the current time is used.
    Note
    Specify note information.
    Type
    Select the type of incident for this note. For example, select Attendance if the employee was unexpectedly absent. This field is available only if the Employee Relations feature is enabled for the organization.
    Public
    Select this check box so that the note is available to the employee. Public and private notes are available to HR administrators.
    Source
    Select the source for the note. For example, if a manager personally observed the incident, select Manager Observation. If a suitable source is not available, an administrator or HR generalist can add one.
    File Name
    Attach a document.
    URL
    Specify the URL for information that is related to the note.
  6. Click Submit.
    If prompted, confirm the corrective action creation by clicking OK.

    The corrective action is placed into Draft status on the employee record and on the administrators' Corrective Actions page.

    Optionally, select Send For Review if you have no further details to add to this corrective action.

  7. On the Resources tile for this corrective action, identify additional resources that are related to this corrective action. For example, a union representative.
    Click Create to add a resource that is also an employee or click Create Non Employee to add a resource that is not an employee. You must select a role for the resource. Optionally, select contact information and add comments. If the resource is an employee, their email address and telephone number is filled in after the record is saved.
  8. On the Documentation tile, create a new document that contains information about the corrective action.
    A document can contain comments, have a file attached (for example, a corrective action template), or have a URL associated. Documents that are created through the Create Document action are also listed here. Documents that are created though this action are merged with the corrective action data. To make the document available to the employee when viewing a corrective action, select the Visible To Employee check box. Documents are available to the Manager, Administrator, and HR Generalist roles by default.
  9. On the Notes tile, create or associate notes to the corrective action.
    You can associate an existing note using the Associate action or create a note that is associated with the corrective action. If you added a note when you created the corrective action, those notes are also listed here. You can remove a note from the corrective action using the Disassociate action, which removes it from the list of notes.
  10. On the Coaching tile, associate a coaching with the corrective action.
    Associating a coaching also associates all of its notes to the corrective action. If a coaching was associated in error, it can be disassociated from the corrective action using the Disassociate action. The coaching still exists for the resource but is not associated with the corrective action. Review the employee's notes manually, because they might still apply.
  11. Click the Correspondence tile to access the Corrective Action Correspondence page.
