Requesting pay rate changes for work assignments

Depending on your security privileges, you can change a work assignment pay rate directly on the work assignment record or you may be required to request a pay rate change.

  1. Select Administrator > Resources > Resources.
  2. Open the resource and click the Work Assignments tab to display the work assignments.
  3. Right-click the work assignment to change and select Change Pay Rate.
  4. Specify the effective date.
  5. Optionally, specify the new pay information:
    Action Reason
    Select the reason for the request. This is displayed on the audit log.
    Position
    The work assignment's position is displayed.
    Pay Rate Type
    Select the pay rate type.
    Note: This field is not available if the position is step and grade schedule.
    Percent Increase
    Specify the percentage increase from the original pay rate to the new pay rate. When you navigate away from the field, the Pay Rate field value is updated accordingly.
    Pay Rate
    Specify the new pay rate. When you navigate away from the field, the Percent Increase field value is updated accordingly.
    Note: This field is not available if the position is step and grade schedule. The number of decimals that you can specify for a pay rate is dependent on this information:
    • Currency's number of decimals for annual pay rate types
    • Precision rate settings for hourly pay rate types
    • Pay Rate currency: Valid values are 0 to 6
    • Pay Rate Type: Hourly, Annual, or Monthly
    Pay Rate Currency
    Select the pay rate currency.
    Note: This field is not available if the position is step and grade schedule.
    Step and Grade Pay Schedule, Grade, Step
    If the position is a step and grade position, select the new step. The rate for the new step displays.
    Salary Structure, Grade
    If the position is associated with a salary structure, the salary structure and grade display.
    Note: This field is available only if the position is associated with a salary schedule.
    Comment
    Specify comments in support of your request.
    Attachment
    Optionally, describe and attach supporting documents.
  6. Specify this information:

    The action request is immediately approved if it is a pay step change for step and grade positions. It is also immediately approved if the pay rate change is less than or equal to five percent of the original pay rate and is below the salary structure maximum. Otherwise, the request is routed to the compensation analyst for final approval.

    If the request is sent for approval, the pay rate change is displayed on the resource record after it is approved. The final approver can view and modify the collective agreement population category and position or level information.

    Note: If your organization uses Position Monitoring, and completing the pay rate change would result in exceeding a position budget salary allocation, you cannot complete the action. The error message that is displayed explains how the budget is exceeded. You can complete the action by reducing the amount that causes the budget error.
