Manager codes

Manager roles are identified by a manager code. Resources are assigned to managers on their work assignments. A manager code is specified in the work assignment's Direct Manager field. The person who is currently assigned to the manager role is automatically identified as the manager. This association serves these purposes:

  • When the manager changes, only the resource who is associated with that manager code has to change; nothing has to change on individual person work assignments. The next time a reference is made to the manager, the new resource is identified as the manager.

    Example: If Elise is the payroll department manager, all of the resources who report to her have the payroll department manager code on their assignments. When Elise leaves or changes jobs, the payroll department manager role is removed from their work assignment. It is assigned to the work assignment of their successor, Nguyen. The resources that used to report to Elise now report to Nguyen.

  • If a resource leaves a managerial position, for example, is promoted or terminated, and the managerial role is not filled immediately, the next manager in the chain of command is used for approval purposes.

    Example: If Cormac, the HR department manager leaves, and if the organization is trying to find a replacement for him, everyone who reports to the HR Dept Manager can still have the HR department manager noted as their manager.

    If any work must be performed by the HR department manager, and no resource is associated with the manager code, the Reports To Manager on the HR department manager code is used to identify the next level manager.

  • A resource can be assigned to more than one manager code.

    Example: Dafina can be both the accounts payable manager and the accounts receivable manager. Therefore, resources who report to Dafina can be identified separately, with some reporting to the accounts payable manager and some to the accounts receivable manager.

    Therefore, for multi-step approvals, those reporting to Dafina as accounts payable manager can be routed differently than those who report to Dafina as the accounts receivable manager. If the workload becomes too much for Dafina, a replacement can be made to the accounts payable manager without changing the associated person assignments. The resources are still reporting to the accounts payable manager, but not to Dafina.

  • More than one resource can be associated with a manager code.

    Example: In an organization where resources work in shifts, more than one resource might share the shift manager role with equal responsibility. Sanjaya and Teemu report to the Nurse Manager. Ting Ting, Maisha, Janna, and Alaba are all assigned to the Nurse Manager code. Therefore, Ting Ting, Maisha, Janna, and Alaba all have equal responsibility and access to Sanjaya and Teemu.
