Creating email templates for HR Talent

  1. Select Administrator > Set Up > Email > Email Templates.
  2. Select the tab that corresponds to the type of action for which to define a template. For example, to create a template for a leave of absence action, click the Leave Of Absence tab.
    Note: 

    The Email Automation form has tabs that correspond to the tabs on the Email Templates form. The templates that you can select from for each automation tab are the templates you defined on the corresponding templates tab.

  3. Click Create.
  4. Specify this information:
    Effective Date

    Required. Specify the date on which the template takes effect.

    xxxx Email Template

    Required. Specify the template name, and include the purpose of the template in the name. Users must recognize the purpose when they are selecting the template for an action on the Organization Email Automation form. For example, EMPLOYEE CANCEL LEAVE.

    Preferred Email Language

    Select the role for the preferred language for this template.

    To

    Select the variable or variables representing the email address or addresses of the person or persons to whom the email is to be sent. To select a variable, right-click within the field, then click Variables to display the variables you can select. The variable you select is displayed within curly braces. For example, {ResourceEmail}. Separate multiple email addresses or email variables with commas.

    Note: 

    In any email address field, you can also specify an actual email address.

    CC, BCC

    Select the variable or variables representing the email address or addresses of the person or persons to whom the email is to be copied. For example, {ManagerEmail}. Separate multiple email addresses or email variables with commas.

    From

    Select the variable representing the email address of the person sending the email. For example, {RequesterEmail}, or {ResourceEmail}.

    Subject

    Specify the subject of the email. Use a variable for substituted text.

    Note: 

    To select variable text, right-click the line, then select Variables on the menu.

    For example:

    {ResourcePreferredFullName} - Leave cancelled
    Body

    Specify the text of the email. Use variables for substituted text. For example:

    From: {Organization} 
    {ResourceID} - {PositionTitle} 
    
    To whom it may concern, 
    
    {ResourcePreferredFullName} has cancelled 
    the following requested leave with the 
    following reason and comments. 
    
    Reason: {ActionReason} 
    Comments: {ActionComments}
    
    Leave Type: {LeaveType} 
    Leave Reason: {LeaveReason} 
    
    Leave Start Date: {BeginningOfLeave} 
    Estimated Return Date: {EstimatedReturn}
    
    Additional Information: {AdditionalInformation}. 

    In emails, there is a fixed 20-pixel buffer space that is applied around the text that you specify here.

  5. Use controls on the pane to apply styles, colors, and formatting to the selected text. You can also insert images into the footer.
    Note: Optionally, click theHTML button to view and apply markup tags to text. Click VISUAL to return to the original view.
  6. Click Save.
