Purging candidate groups

Administrators with the Purge Action Administrator security role can initiate purging external candidate records.

Before the candidates in a group can be purged, their job applications must be inactive or they must be dispositioned and no longer associated with a job application. If an external candidate has active job applications, they are displayed on the purge list with an alert and the purge action is not available. Recruiters and hiring managers can disposition candidates.

Note: Purge and anonymize actions are permanent, and the data cannot be recovered.
  1. Select Purge Actions Administrator > Candidate > Feature Purge > Candidate.
  2. Select an existing purge job name, if available.
  3. If no purge job exists, create it.
    1. Click Create Candidate Purge Parameters.
      Name
      Specify a unique name for the purge job.
      Description
      Optionally, specify a description of the purge job.
      Candidate Group
      Select the candidate group to be purged or create a custom group.
      Years
      Specify a number of years. Candidates older than the specified number of years as of today are purged.
      Purge Option
      Select Candidate or Documents Only.
  4. To create a custom group, specify this information:
    Custom Group
    Specify a unique name for the custom group.
    Description
    Optionally, specify a description of the custom group.
    Effective Date
    Select a date from the calendar.
    Active
    Select the check box to activate the group.
    Business Class
    Select Candidate.
    Condition
    Click Builder to create a condition. For example:
    (ActiveJobApplicationsExists = false)
  5. Click Save.
  6. Preview the list of candidates that are eligible to be purged. Under Run Options, click Preview Records .
    If a candidate has a red exclamation mark, the related job application must be inactivated or the candidate must be dispositioned before the data can be purged.
  7. Select the candidate, and click Purge.
  8. Specify the scheduling details for the purge action or click OK to run the action immediately.
  9. Click Yes on the Confirmation Required message.
