Creating automatic emails

  1. Select Administrator > Set Up > Email > Email Automation. Review all of the possible actions that can trigger automated notifications and decide which ones to use.
    Note: The available Personal Information actions depend on the organization's configuration.
  2. On Administrator > Set Up > Email > Email Templates, create the templates to use for each action.
    Note: 

    You can use one template for more than one action if it is generic enough to apply to all of the actions. For example, if you use {RequesterEmail} in the From line, you can use the same template to inform a resource that either a manager or administrator validated a qualification.

  3. On Administrator > Set Up > Email > Email Automation, select Automatic Email and an email template for each action that will trigger email notifications. See Configuring email automation for HR Talent.

    The result is that each time a resource initiates an action for which email automation is configured, emails are sent to all the "To" and "Cc" resources defined on the email template for that action.

  4. Optionally, at Administrator > Set Up > Email > Email Automation > Email Change Confirmation, select Automatic Email and an email template for each action that will trigger an email confirmation notification when a change is requested for each action. This is useful as a safety measure for things like changes to direct deposit information.
