Maintaining organization and country settings that affect ethnicity options

You must have Administrator permissions to edit the organization.

  1. Sign in as Administrator.
  2. Select Set Up > Structure > Organizations.
  3. Open the record for the organization.
  4. Click the Country Configurable Fields tab.
  5. Open the record for the country whose ethnicity-type list you are editing.
  6. Click the Configurable Fields tab.
  7. Complete the Effective Date field for the selections that you are about to make.
    If selections have different effective dates, save each selection separately.
  8. Select these ethnicity-related check boxes as appropriate for the country:
    Ethnicity
    Selecting this check box causes ethnicity-related fields to be displayed on the employee profile. Administrators, managers, and employees can view the fields. Administrators can always edit them on employees’ profiles. A configuration is required for employees to edit them on their own profile. Managers cannot edit ethnicity selections.

    Multiple Races
    This is designed for US usage. Selecting this check box enables Ethnicity Details link to display on the employee profile. Use the link to select multiple ethnicities. Selecting the Multiple Races check box makes the Multiple Races tab available on the Country Configurable Fields page. It also makes special processing options available for selection when an ethnicity type is being added or edited.
  9. Save your selections.
  10. If you selected the Multiple Races check box, click the Multiple Races tab to configure email text that you can send to employees to encourage them to self-identify their race and ethnicity.
  11. Complete these fields:
    Notification Title
    Optionally, edit this name of the notification to employees. Only administrators see this name.
    Self Identification Form Text
    Specify text that employees see after clicking a link to a one-time online questionnaire. Employees can use the questionnaire to self-identify their race and ethnicity.
    Send Email to Employee
    Select this if you also want an email sent to employees for self identification.
    From Email

    Specify the sender’s email address.

    Email Subject
    Specify the subject line for the email that employees receive.
    Email Text
    Specify text that invites employees to click the embedded link and complete the online questionnaire. Use the formatting bar to format your message.
  12. Click Save.
