Activity and session completion process

Note:  Infor Learning Management sessions (events) and activities (courses) can only be completed in Infor Learning Management. When the activity Completed status is imported back to Development Planning, the result is the same as if the activity had been completed in Development Planning. If you are using Infor Learning Management, the only process that applies to development activities defined in Development Planning is the activity completion process.

Completing a session completes the participation for all participants, and completes the development activities. Learning managers can also complete session participation and development activity for individual participants.

For organizations that do not use learning budgets, the only status that matters is the individual resources' participation and completion status. Organizations that use learning budgets may want to track actual costs.

There can be an intermediary step where resources or managers can report a development activity as finished to let the learning manager know that they have completed the development activity. This can be useful for development activities that have no session or where a session can end at different times for different participants.

  • (Not applicable if you are using Infor Learning Management) If a development activity has sessions, resource development activities can be completed only from the Complete Sessions tab on Development Planning > Registration And Completion > Attendance And Completion.
    • The learning manager can complete the entire session, thereby completing the development activity for confirmed participants in the session.
    • The learning manager can complete the session for an individual participant.
      Note: If a manager or resource reports the development activity as finished, the development activity appears on Development Planning > Registration And Completion > Complete Finished Activities, but the learning manager can only complete the development activity on the Complete Sessions tab, if the activity uses sessions.
  • If a development activity has no sessions, the learning manager can complete a development activity from the Activities tab of the resource on Development Planning > Resources > Resource Activities.

    Or

    If a manager or resource reports the development activity as finished, the development activity appears on Development Planning > Registration And Completion > Complete Finished Activities, and the learning manager can also complete the development activity on that page. If the activity is not required, the learning manager can also fail to complete the development activity. That action is not reversible.

    Note: Resources can attend a session fully and still receive a Fail To Complete status if the manager or learning manager decides they have not met the requirements. In addition, the learning manager can change the Completed status for a session to Failed To Complete.

Reported As Finished status

There can be an intermediary step where resources or managers can report a development activity as finished to let the learning manager know that they have completed the development activity. The development activity then appears in Development Planning > Registration And Completion > Complete Finished Activities.

  • If the activity has no session, the learning manager can complete or fail to complete the activity on the Finished Activities Requiring Completion page.

  • If the development activity has an associated session registration, a yellow alert prompts the learning manager to go to the Complete Sessions tab (on Development Planning > Registration And Completion > Attendance And Completion) to complete or fail to complete the activity.

    A typical use of this feature would be for development activities that have no sessions or development activities that have open session dates, where different resources may complete at different times. For example, a group of employees to take a class online over the next six months. You want to track all the employees within one session and want to complete each employee's participation as soon as they let you know they have completed the class.

    Note: Resources and managers can undo the Activity Is Finished status. They can change "Activity Is Finished" to "Activity Is Not Finished." The only difference changing the flag makes is that the development activity no longer appears on the Finished Activities Requiring Completion page. The learning manager can still complete the development activity, whether the Activity Is Finished flag is set or not. The learning manager can also "Fail To Complete" a finished development activity, as long as the activity is not required.

Completed resource development activity

  • Participants' skills, competencies and credentials of the participants who completed the session are updated with the outcomes defined for the development activity.

    • If the learning rules for the organization are set to automatically validate skills and competencies, the skills and competencies defined as the outcome are also given a status of Validated.
    • If the learning rules for the organization are not set to automatically validate skills and competencies, the skills and competencies will be added but they will not be validated until the resource managers validate them manually.

    • Credentials are automatically validated.
  • The development activity is moved to the resource's activity history list.
  • (Learning budgets only) The Actual Remaining balance for the budgets is decremented with the actual costs entered for the development activity requests (either before or after the development activity is completed).

    Note: Learning managers can undo the Completed status. They can change Completed to Failed To Complete (only if the activity is not required for the employee). For example, resources can attend a session fully and still receive a Fail To Complete status if the manager or learning manager decide they have not met the requirements.

Resource development activity fails to complete

Note: Not applicable for activities imported from Infor Learning Management.
  • Any skills, competencies, or credentials defined as outcomes to the development activity are not added to the resource's talent profile.
    Note: If the status of a development activity is changed from Completed to Fail To Complete, any skill, competency, or credential outcomes that were updated when the development activity was completed will have to be manually backed out. Your organization should evaluate how to ensure that this is done.
  • If the resource development activity is not required, the leaning manager can still complete the activity.
  • If the resource development activity is required, and the activity has no sessions, the Fail to Complete action is not allowed.
  • If the resource development activity is required, and the resource fails to complete a session, the registration status becomes Failed to Complete, but the development activity returns to Need registration, and the resource can be registered for another session.
  • (Learning budgets only) The Actual Remaining balance for the budgets is decremented with the actual costs entered for the development activity (either before or after the development activity is completed).
    Note: (Learning budgets only) Participants who Failed To Complete may also incur actual costs. Completing the session does not automatically update the actual costs for each participant.
