Processing manual wait lists

Note: Not applicable if you are using Infor Learning Management.

With manual wait lists, the learning manager can cancel the registration of a confirmed participant and fill an opening with anyone in the wait list. If an opening occurs, the learning manager must manually fill the opening with a wait listed resource. If notifications are set up, the learning manager can be notified when an opening occurs due to a resource withdrawing or a resource's manager canceling the registration.

  1. Select Development Planning > Registration And Completion > Manage Registrations.

    Any session that has reached full capacity or has a waiting list displays a red flag in the Capacity column.

  2. Select the session update.
  3. Move resources in or out of the wait list::
    • To remove a resource from the confirmed resources list to make room for another resource, access the Confirmed tab, highlight the resource to remove, and select Actions > Wait List.

      The resource is moved to the wait list. If a notification is set up for this change of status, an email will be sent automatically to the affected resource.

      Note: 

      Wait listed resources are allowed to request registration for another session while on the wait list. If a resource is confirmed for another session, the resource's wait listed registration is automatically cancelled. The cancelled registration appears on the session's Inactive Registrations tab.

    • To move a resource from the wait list to the confirmed list, access the Wait Listed tab, highlight the resource, and select Actions > Confirm.

      The resource is moved to the Confirmed resources list. If a notification is set up for this change of status, an email will be sent automatically to the affected resource.

      Note: 

      You cannot confirm a wait listed resource if the session is full. To register more resources than the session originally allows, you must increase the session's enrollment maximum.

    • To cancel the registration of a wait listed resource, click the Wait Listed tab, highlight the resource, and select Actions > Cancel Wait List Registration. If a notification is set up for this change of status, an email will be sent automatically to the affected resource.

    • To approve a requested registration, click the Requested tab, and select Actions > Approve.

      If you register the participant for the current session and there is a wait list, the resource will be placed on the wait list. If the session is not full, the resource will be confirmed.

      Note: 

      Typically, the resource's manager would be expected to approve the registration, and the learning manager can send notifications to resource managers who have pending registration requests. The learning manager can always approve a registration on behalf of a resource manager.
